  • Receptionist/Legal Administrative Assistant – Beth M. Terry, P.A.

    This is a full-time on-site role located in a fast-paced family law firm in Jacksonville, FL for a Receptionist/Legal Administrative Assistant. The Receptionist/Legal Administrative Assistant will be responsible for various administrative tasks, including answering phone calls, greeting visitors, scheduling appointments, and coordinating meetings and hearings. The role also involves managing and organizing legal and financial documents, handling correspondence, and providing general administrative support to the team. Attention to detail and strong communication skills are essential for this role.

  • Corporate/Trust Paralegal – Marks Gray, P.A.

    Marks Gray is seeking a full-time corporate/trust paralegal.

    Duties and responsibilities:

    1. Formation of Florida LLCs and Occasional Corporations, including preparation of Articles, Operating Agreements/Bylaws, issuance of stock/membership certificates, securing of Federal tax ID numbers
    2. Occasional formation of Non-Florida entities, working through outside services/agents
    3. Servicing of LLC/corporate clients, including preparation of minutes, resolutions, assignments and stock/interest transfers
    4. Preparation of Florida Deeds for transfers of real property into LLC/corporate entities and attend to e-recording of same
    5. Trust Administration — Preparation of Correspondence to Beneficiaries, Notices of Trust, Waivers of Accounting and related correspondence. Preparation of simplified trust accountings (2–3 per year).
    6. Assist Attorneys and Primary Probate Paralegal in handling excess probate work, including preparation and filing of all necessary pleadings/orders for summary administrations and occasional work with formal administrations
    7. Maintain and balance one or more check registers
    8. Direct communications with clients in connection with the above

    Experience:

    • Corporate paralegal experience preferred, but willing to train the right candidate
    • Ability to work with documents, calendaring and records in Prolaw document management/calendaring system
    • Skilled at word, excel and outlook. Hotdocs experience a plus.

    Responsibilities

  • Experienced Paralegal – Farah & Farah

    Farah & Farah is hiring a paralegal to join our team! This person will assist attorneys by providing clerical and research support services including, drafting pleadings and investigative requests to public agencies, organizing and furnishing materials to experts, document preparation and review; interviewing clients and witnesses; research, investigations, and fact-checking; and trial preparation.

    Responsibilities:

    • Preparing files for mediation, during litigation. This includes compiling the production of documents and evidence of damages
    • Acting as a liaison among all parties including court or other neutrals for scheduling and sharing information, as well as insurance adjusters, experts, and contractors
    • Organizing and managing claim documents, including the creation of spreadsheets
    • Coordinating the collection, review and production of documents and responding to discovery requests
    • Assisting with preparation for depositions, hearings, and trials including the assembly of exhibits, witness binders and appendices for depositions and court filings
    • Summarizing deposition and trial transcripts and exhibits as well as critical medical records and other voluminous evidence and compiling and indexing records for expert review
    • Must be able to schedule depositions, mediation, court deadlines, manage clients, etc.
    • Monitoring compliance with court-imposed deadlines, especially discovery deadlines
    • Initiating complaints, filing motions and discovery, including service of subpoenas and Summons

    Experience Requirements:

    • 2+ years medical malpractice and inadequate security experience
    • 5+ years as a paralegal
    • Excellent verbal and written communication skills
    • Excellent time management, organization, and problem-solving skills
    • Ability to work full-time on-site in our downtown Jacksonville office

  • Part-time (20 hours) Intern/OPS

    Part-time (20 hours) intern/OPS employee to redact documents.  The job pays $17.00/hour. The job entails redacting documents generated in response to public records requests. Roger Williams would provide day-to-day supervision. We would teach the person how to use the public records portal, FSFN, and processes for requesting files.  The person would be expected to apply confidentiality rules to the documents and use Adobe software to redact names and personally identifying information.  What needs to be redacted might vary depending upon who the requestor is, based on s. 39.202, Fla.   • Research Analyst – NCAI Institute for Environmental Sovereignty

    The Research Analyst will conduct in-depth research and analysis on environmental and natural resources law and policy at the tribal, federal, state, local, and international levels and conduct related support activities for the NCAI Institute for Environmental Sovereignty. The ideal candidate is highly organized, an excellent writer, and has between three and five years of experience conducting legal research, including collecting and synthesizing information, drafting reports and memoranda, performing rigorous fact-checking, cite-checking, and Bluebooking, and carrying out basic administrative functions. Candidates will have a passion for serving Tribal Nations and Indigenous communities and an interest in environmental protection and natural resource stewardship.

    The Institute for Environmental Sovereignty's mission is to advance Tribal Nations' leadership in natural resource governance and environmental stewardship; safeguarding Indigenous peoples' cultural heritage linked to the landscape and natural environment; and innovative Indigenous-led approaches to environmental protection. The Institute carries out this mission through its core objectives: (1) tracking environmental matters of greatest concern to Indian Country; (2) carrying out in-depth research and analysis of environmental and natural resource policy, law, programs, and action, at all levels and types of government, which impact Indian Country, treaty resources, cultural heritage, and tribal communities' health and wellness; (3) advocating for greater tribal sovereignty over, and stewardship of critically important natural resources; and (4) convening Tribal Nation leaders, partners, and supporters around Indian Country's greatest environmental problems, solutions, and promising opportunities to create communities of practice.

    Duties & Responsibilities:

    Under the direction of NCAI's Director of the Institute for Environmental Sovereignty, the primary duties of the Research Analyst include but are not limited to:

    • Conduct research, synthesize findings, and draft related memoranda, reports, and other communications
    • Cite-check, fact-check, Bluebook, proofread, and assist with writing reports, white papers, issue briefs, podcast story maps or scripts, op-eds, blogs, and other public-facing documents
    • Support monitoring the development of environmental protection, natural resource management, and conservation law and policy
    • Support the team's engagement and communications with internal and external partners and partner organizations, technical experts, and government agencies and officials
    • Coordinate, prepare for, support, and participate in meetings and presentations, both virtual and in-person
    • Manage and coordinate projects, develop work plans, and track and communicate progress toward Institute goals
    • Contribute to grant writing in support of the Institute, including letters of intent, concept notes, and proposals
    • Travel to staff NCAI's three major conferences that take place each calendar year, and occasional travel for site visits, meetings, and representing the Institute at conferences, including providing presentations on Institute projects when required

    Education & Experience:

    • Associate or bachelor's degree in law, paralegal studies, Indigenous/Native American studies, environmental studies, or a related field
    • Three or more years of professional work experience conducting legal research and analysis, cite checking and Bluebooking documents, and managing large quantities of documents
    • Paralegal/Certified Legal Assistant certification preferred
    • Familiarity with environmental, natural resource, or cultural resource matters significant to Tribal Nations or Indigenous communities
    • Project management experience
    • Experience in making and following up on public records requests

    Physical Requirements:

    • Prolonged periods sitting at a desk and working on a computer.
    • Must be able to lift up to 15 pounds at times.

    Compensation:

    The salary range is $60,000–70,000, commensurate with experience and educational qualifications.

    Work Hours & Environment:

    This is a Forty (40) hours per calendar week position, fifty-two (52) weeks per calendar year; provided, however, during the time periods leading up to, during, and immediately following NCAI conferences and similar events, involvement up to Sixty (60) hours per week may be required.

    This position is remote-eligible.
