Key Request Information

HOW TO SUBMIT A KEY REQUEST:
  1. Download Form 
    Link: Buildings and Rooms. Use this form as the preferred format when adding building(s) and room number(s). Once updated, save and attach (upload) to the web form.
  2. Click Web Form - Start request  Web Form
  3. Web Form Covers -  New key requests, adding room(s) to an existing key, or lost/stolen keys.
  4. Space Owners (Approvers)
    Approvers will be selected, and an email will be sent for approval.
  5. Email - You will receive an email and/or Teams notification once the request has been approved.
  6. Allow 24/48 hours for approval processing.

REQUIREMENTS FOR:
  • Lost or Stolen Keys:  First, report any lost or stolen keys to UPD before submitting a key request.  Once reported, UPD will provide a case number.  Enter the case number under box #11 within the web form.  Failure to submit a case # will only cause a delay in your key request(s).

  • Change in Space Owners: To update a new space ownership within your department, email workmanagement@unf.edu. Include the new space owner's name, their N#, and region(s) of coverage.  It's important to do this as soon as possible to avoid delays in the approval process or the request being sent to the former space owner.
     
  • Delay and Waiting:  Wait 24/48 hours after submitting your request.  Check with your initial approver(s) to ensure they've received the request (Have the approver double-check their email and/or check the junk mail).  After our team has processed your submittal, the request is routed to the department or division's space owner for approval.  If multiple approvers are required, the initial space owner must approve before it can be rerouted to the next space owner.  

  • Approved - Next StepPrint the completed approval email. Bring the printed copy and your Osprey ID for verification (Digital copies are not accepted). The Lockshop will finalize your key request.

  • Existing Key Holder or Door Hardware Issues: Submit a work order (Search "FAMIS" under myWings to access the portal) for the following issues: Current key holder, door hardware, and/or door battery replacement (3 beeps or more).

Lockshop Services

  • The Lockshop provides access to buildings & rooms across campus (excluding Housing).
  • Lockshop covers key requests, building access, and door/lock repairs.

Key Request

  • The key request covers new key(s), existing key updates, key terms, etc.
  • Intellikeys will grant access to only UNF Full-Time Employees, UNF Part-Time Faculty, UNF Student Employees, or OPS Employees.  
  • Key(s) are issued only to a key holder, and the key holder must sign for the key(s).
  • The key holder is responsible for the key(s) and must return the key(s) to the Lock Shop when changing department offices or upon termination of employment with the University.

Work Order Request

For any issues related to physical keys, door hardware fixtures, or door battery replacements, you can submit a work order through the UNF FAMIS portal. Here's how:
  • Log into myWings
  • Search for "FAMIS"
  • Access the FAMIS portal.
Note:  If the door battery beeps 3 or more times, this is a clear indication that the battery needs to be replaced.
