Students with Disabilities

Students with disabilities who seek reasonable accommodations in the classroom or other aspects of performing their coursework must first register with UNF Student Accessibility Services (SAS) located in Building 57, Room 1500. SAS staff members work with students to obtain required documentation of disability and to identify appropriate accommodations as required by applicable disability laws including the Americans with Disabilities Act (ADA). After receiving all necessary documentation, SAS staff determines whether a student qualifies for services with SAS and if so, the accommodations the student requires will be provided. SAS staff then prepares a letter for the student to provide faculty advising them of approved accommodations. Frequently Asked Questions by Faculty

What is Student Accessibility Services (SAS)?

Student Accessibility Services coordinates and ensures services and accommodations for registered students with disabilities as mandated by the Americans with Disabilities Act and Section 504 of the Rehabilitation Act of 1973. SAS also acts as a gateway for disability-related information and guidance. These services provide equal educational opportunities to students by minimizing the impact of functional limitations upon their academic and non-academic lives.

Who is responsible for determining reasonable accommodations?

SAS is the only office on campus that determines appropriate accommodations. Decisions regarding accommodations are based on documentation provided by the student with a disability, as well as the student's functional limitations.

Are all students with disabilities registered with SAS?

No. It is possible that a student with a disability has chosen not to register with SAS, or he/she may not have met the eligibility criteria for services. In either instance, faculty members do not need to provide accommodations for those students.

How do I know if a student is registered with SAS?

Students registered with SAS will present you with a current letter of warranted accommodations. The student may elect which accommodation he/she would like to use in a given class after discussing the framework of the class with the professor.

If a student requests a note taker, what is my responsibility?

The student should provide you with a Note Taker Request form from SAS. You may make an announcement that a student in class needs the services of a volunteer note taker. Due to confidentiality, please do not mention the student's name, the student's disability, or identify the student in any way during your announcement. You may introduce the volunteer note taker and SAS student to each other unless the SAS student wants to maintain their anonymity. This is an accommodation specifically for on campus courses and courses with real time online lectures that are not prerecorded.

Volunteer Note Taker Request Steps:

  1. The SAS student requester, fills out the top portion of the Note Taker Request form completely and hand-delivers/emails it to their professor. This form can be found under the General Note Taking Information Module on the SAS Canvas page.
  2. The professor should ask the class for a volunteer note taker when they receive the form. If no volunteer can be found in the class a student from another section of the same course might be willing to provide note taking services.
  3. Once a volunteer is found, they will be given the Note Taker Request form by the professor in order to fill out the bottom portion. 
  4. The form should then be emailed by the volunteer note taker to so that a OneDrive Folder can be set up on the cloud and the link can be shared with the SAS student and volunteer note taker. 
  5. The volunteer note taker uploads notes directly to the folder, and the SAS student can retrieve them directly from the folder. 
  6. This process is set up to allow the SAS student requester to remain anonymous if they so choose.

What is my responsibility if a student's accommodation is extra time on tests?

If a student has extended time as an accommodation, you must provide the designated extra time delineated on their accommodation letter. Student Accessibility Services can provide a testing environment for all registered students requiring extended time.

When is a student required to notify me of a need for accommodations?

SAS encourages but does not require registered students to meet with you at the beginning of each semester to discuss their Letter of Accommodations. However, a student can register with SAS or present their Letter of Accommodations to you at any time during the semester. Accommodations are not retroactive; they will begin as soon as the professor receives notification of accommodations.

Am I allowed to request disability documentation from the student for any reason?

No. Documentation stating and describing a student's disability is confidential information. Documentation for students registered with SAS is kept at SAS center. However, please call SAS if you have concerns about a student in your class.

I have a student in class who provided me a letter of accommodations but has never used them. What is my responsibility in this situation?

You are only responsible to provide accommodations when a SAS registered chooses to use their warranted accommodations.

I have a student in class who provided me with a letter of accommodations but has never used them. The student then comes to me at the end of the semester right before finals, and tells me he/she is failing and asks for the requested accommodations now. What do I do?

The student has ultimate responsibility to make use of the accommodations that have been identified as reasonable. You are not expected to retroactively make adjustments on academic work prior to student use of their accommodations. If they request to use their accommodations, you must provide them the opportunity to do so. You are to provide accommodations from that point on.

Do I have any recourse if I disagree with the requested accommodations?

Yes. You should contact SAS to discuss your concerns with one of the SAS Directors.

If a student informs me that he has a disability and would like an accommodation such as extra time for an exam but does not have a letter from SAS stating his/her accommodations, am I required to provide accommodations?

No. You are not required to provide any requested accommodations unless you have been presented with a current Letter of Accommodations. A student must be registered with SAS before accommodations will be provided.

Am I required to lower the standards of a required assignment because the student has a disability?

No. The standards should be the same for all students. However, students with disabilities may exhibit their knowledge, production or course expectations differently than their peers. Accommodations are designed to address those differences, but the quality of the end result should be the same. Modifications of policies and practices are not required when they would fundamentally alter the nature of the course, service or activity.

I have a student who is having difficulty in my class. I think this student may have a disability. What should I do to help the student?

Talk privately with the student to discuss your observations. Do not assume that the student's difficulties are a result of a disability. After a thorough discussion with the student, you may want to refer the student to one of more campus resources. Offer options to the student such as the Academic Center for Excellence (ACE), the Personal Counseling Center, as well as the SASS. If the student discloses that they do have a disability or believes they have a disability, you might suggest that the student contact Student Accessibility Services to explore options for accommodations.

I have a student with a disability who is getting behind in his schoolwork. The student is missing a number of classes and has not handed in several assignments. Although he has taken a midterm and used accommodations, his grade is about a D. At this point he is not passing the class. Do I have a right to fail a student with a disability?

The student with a disability has the same right to fail as anyone else. Work produced by the student should be equivalent to his peers. Provision of accommodations is no guarantee of academic success.

Faculty Exam Information and Procedures/Review Student Accommodations

Student Accessibility Services (SAS) offers the following options to faculty with students who require extended time or reduced distraction testing environments through SAS. When a student is enrolled in your class and they wish to test at SAS, the following process will take place:

SAS utilizes an online portal called Clockwork for exam administration. Faculty can access the ClockWork portal to view exam appointments made by SAS students in their course and to upload exam materials and instructions for testing. Faculty may also access the Accommodations Letters of each of their students registered with SAS through this portal. You will receive an email reminder three (3) business days before the exam and another reminder the morning of the exam if the exam has not been submitted.

Methods of Exam Delivery:

  • You may submit the exam through the Faculty link for Clockwork. (Faculty Resources Icon>Faculty Tools>Clockwork) 
  • You may include the exam in an e-mail as an attachment (Word or PDF scanned Format) and send it to the SAS Exams email account.
  • You may bring the exam to the SAS center. (Building 57 Room 1500)

Methods of Exam Retrieval:

  • You may pick up your exam at the SAS center.
  • You may request that the exam is scanned and emailed back to you.
  • You may request that the exam be delivered to you through campus mail.
  • You may request that your student return it themselves to you.

Please note the following

  • It is the students' responsibility to schedule their exam appointments at least 5 business days in advance. If the appointment is made, an email will be sent out to the professor requesting the exam be provided.
  • When a student signs up late (less than 5 business days) for an exam, you will not receive an email form SAS. In this circumstance, it is the student's responsibility to contact their professor and let them know they wish to take the exam at SAS.
  • There are multiple ways of sending exams to SAS: uploading to Clockwork, via email to the SAS Exams email account (NOT ), or physically dropping them off at SAS. Exams need to be uploaded into Clockwork at least 24 hours in advance.

Clockwork Instructor Portal Steps for Faculty (Manual in Word format available upon request)  

ClockWork is an online resource for faculty to manage and confirm exam appointments that their students have made with Student Accessibility Services. In addition, faculty may view and confirm receipt of students’ accommodation letters. Clockwork offers the following services to faculty:

  • View/confirm test dates made by their students who are registered with SAS: The online faculty portal lists all exams that students have signed up to take at the SAS testing center.
  • Initiate testing dates for classes of students registered with SAS: Faculty may make the appointment before students do, and these will be received and administered by SAS Testing Coordinators.
  • Upload testing documents and instructions: Faculty may upload and submit exams through Clockwork. They may also indicate special instructions and return method.
  • View and confirm accommodation letters for students in their classes: Faculty may view these letters online and confirm the receipt of these documents.

How to access ClockWork 

  1. Log in to myWings
  2. Go to the “Faculty Resources” Icon
  3. Under the “Faculty Tools” section, click on the ‘Clockwork’ Link or search for “Clockwork” in myWings

At the landing page for Faculty Clockwork Applications you will find tabs for Courses and Accommodation Letters.


To access a student's accommodations letter for your course

  1. Under the ‘Courses’ Tab click the drop down box and switch ‘Show term’ to view current term if necessary.
  2. Select the ‘Accommodation Letters’ link by a course/course code to see a list of students who have requested accommodations in that course.
  3. Select the radio dial by a student’s name to view, confirm and download a copy of the student’s letter for the course.
  4. Likewise you can select the ‘Accommodation letters’ Tab directly and click the ‘View Letter’ link directly.
  5. If you do not see an accommodations letter for a student in your course and the student has informed you that they have requested accommodations for your course please refer the student to SAS.

Confirming/Uploading Testing Documents 

  1. You may now click the Courses tab again to see the scheduled tests made by students. Then click Tests and Exams.
  2. On this page you will see the schedule of exams.  You may review and confirm these exams. To do this, go to the Confirm link
  3. On this first page, you will see the times that students imputed, which reflects the time that class receives for the exam. *Testing coordinators will accommodate the time for each student.  Here, then, you have the date and time of the class test. Once you have confirmed or changed this section, click Next.
  4. On the second page, you will see the list of students who have signed up so far. When you are done reviewing this, click Next.
  5. On the third page, you will give any special instructions for the exam. Click which applies and/or type any instructions and the return method that you prefer. Then click Next.
  6. On the fourth page, you will confirm the exam details. This page is also where you upload the exam for online submission. *Note: you may also submit multiple documents for the test by selecting the first document from your computer, clicking Submit Changes and then clicking back to the test listing. Then you will click Review File and select another document. Once you are done, click Submit Changes for the last time.
  7. On the final screen, you will see that your confirmation and submission are complete. You may go back to the Courses list, back to Test Listing or log out.  


Faculty Submission of Exam Dates and Materials


You may also submit a test materials and information before students schedule it with SAS by clicking the box "Tell us about an Upcoming Test.” To do this click the Courses tab and click Tests and Exams. 

  1. Click the date of the test from the calendar box and click Add this Test.
  2. On the first page, you will give the exam information including the course and date and time of the class exam. Please give the amount of time that class will receive. Testing coordinators will accommodate the time for students. Then click Next.
  3. On the second page, no students will be listed yet, as you are initiating this booking. Click Next.
  4. On the third page, you will supply any special instructions and the exam return method that you prefer. Click Next.
  5. On the fourth page, you will review the information and here you will upload your testing documents. *Note: if you have multiple documents to upload, you will click Submit Changes, click Back to Test Listing, click the test again, and Select File to Submit again. Once you are done completely with this upload, click Submit Changes. You may view or remove uploaded files by clicking the hyperlinks on the right. Once you are done completely with this upload, click Submit Changes one last time.
  6. Once you have finished, you may go back to your Test Listing, the Course List or you may log out.

Faculty and Staff Learning Modules


SAS has developed an online self-paced Canvas training for UNF faculty and staff supporting SAS students. Modules include a general overview of the SAS office as well as important information regarding services provided and procedures for accessing accommodations. Faculty will receive a certificate of recognition for successfully completing all modules. Accommodations from SAS

At the University level, students have the right not to be identified as disabled. For this reason, if a student with a disability would like to request academic accommodations, he/she takes the responsibility of contacting SAS. To enable SAS to assist the student with academic accommodations, the student must provide written documentation of the disability from a diagnosing and licensed professional.


Student Accessibility Services (SAS) at UNF offers a wide variety of services to students with documented disabilities. After reviewing their documentation, a member of the SAS Team meets with the student to assist in determining appropriate academic accommodations and services based on the documentation and recommendations from the licensed professional. Upon completion of this registration process, the student will follow the procedures to receive the academic accommodations. Faculty will be informed of the student's accommodations.


Accommodations letters will be created and will be available to the SAS student and faculty. Registered students will utilize the Clockwork portal > Self-Registration to request their accommodations letters for each new course in which they are registered during a semester.

Requesting Accommodations for Courses Each Semester

You can request accommodations for each of your courses during a semester by going to myWings>Student Tools Icon>Clockwork(Disability Accommodations)>Self-Registration Icon link and then selecting the "Self Registration" link in the Clockwork student user portal.


If you do not need any alterations to the accommodations listed in the Clockwork Portal for a given course an email will be sent to your professor providing them access to your letter upon submitting you accommodations request. If you do need an alteration you will be required to meet with a SAS staff member to discuss the changes needed.


SAS recommends you request your accommodations for a semester as soon as possible in order to use your accommodations immediately. Professors who do not receive an accommodation letter will not be obligated to provide you with appropriate accommodations.


Student Accessibility Services recommends you schedule a meeting with each of your professors to discuss accommodations that will be utilized in each class.


IMPORTANT: Accommodation Letters are only good for the semester and year the student is attending. You will need to request a new accommodation letter for each course during each semester you are enrolled.

  1. Step 1: Log in to MyWings, and click the Student Tools Icon menu followed by the Clockwork(Disability Accommodations) link. You will then select the "Self Registration" icon from the Clockwork student portal or search for "Clockwork" in myWings.
  2. Step 2: Click the Self-Registration icon. This will take you to the Request Accommodations page.
  3. Step 3: Click the "Accommodations" Tab at the top of this page or the "request accommodations" link located in the page text itself.
  4. Step 4: You will see a list of the classes you are registered for, click "request" by a course you require accommodations in.
  5. Step 5: You will then be taken to the "Request Accommodations" page that again lists each course in which you are currently enrolled as well as each accommodation you can request to utilize for each course.
  6. Step 6: You now have the option to request course accommodations for each class you are enrolled in all at once (check all) or each class individually by selecting the check box by a course under "Courses to request" section.
    • On the left hand side of the page you will see the "Your accommodations" section. These list all the accommodations you may currently request for any given course or all courses at the same time. If you choose to request accommodations in all courses at the same time, the accommodations that have a check mark by them will be applied to all courses at once. If you would only like to utilize certain accommodations for specific courses please repeat the accommodations request process for each course individually. All accommodations check boxes under the "Your accommodations" section will be checked initially.
  7. Step 7: Choose (1) of the (3) radio dial options in the "Please indicate if your accommodations require any changes" section at the bottom of the Request Accommodations page.
    • The (3) options that can be selected from are;
    • My accommodation(s) are correct the way they are:
    • If selected, this option will send an email notification to your instructor to review the accommodations/accommodations letter you receive in their course. The email will be sent when you have completed the accommodations request process in the Clockwork student portal for a course.
    • I need additional accommodations:
    • If selected, this option will delay the sending of an email notification to your instructor to review your accommodations in their course as well as the competition of your accommodations request for the course itself. A SAS staff member will be notified that you have selected this option. Please make an appointment with a SAS staff member to discuss your accommodations.
    • I need to change or remove and accommodation:
    • If selected, this option will delay the sending of an email notification to your instructor to review your accommodations in their course as well as the competition of your accommodations request for the course itself. A SAS staff member will be notified that you have selected this option. Please make an appointment with a SAS staff member to discuss your accommodations.
    • You may also leave a brief description of the changes to be considered with regard to your accommodations in the "Optional note" box.
  8. Step 8: Next, click the check box "I agree to the terms outlined above" and then click the "Submit" button.
  9. Step 9: You will be returned to the initial "Request Accommodations" page and you will see by each course you requested accommodations in either the status of "Approved" or "Pending waiting on SAS Staff" depending on the option you selected in Step 7.
    • If your accommodations are in an approved status for a course, you will have the ability to download a digital copy of your accommodations letter selecting the "Get Letter" button by the course code.
    • You can save the digital copy of the letter for your records as well as print out a hard copy to provide to your instructor.

Please make sure to confirm with your course instructor that they did receive the Clockwork email notification to review your accommodations letter if your accommodations are in an approved status for a course. If the professor states they did not receive the email notification, please contact SAS and request another notification email be sent to your instructor or print out a hard copy of the accommodations letter and provide it to your professor.

Services and accommodations are provided to SAS-registered students who have completed the registration process. Modifications of policies, practices or courses are not required if they would fundamentally alter the nature of the course or academic program. Similarly, any services that would result in an undue financial or administrative burden may not be provided. Below are examples of but not limited to the types of accommodations or services that are provided by SAS:

  • Qualified interpreters
  • Assistive listening devices
  • Digital recorders
  • Alternate texts
  • Note Takers
  • Readers
  • Scribes
  • Extended test times
  • Use of calculators

Temporary accommodations for those students who provide documentation supporting services but for a limited time. (See Temporary Physical Impairments below)


Once the academic accommodations for which the student is eligible are determined, a letter listing such accommodations is created in the Clockwork System. The letters are emailed to the student's professors. Each semester, the student will request a new accommodations letter through the Clockwork portal for each course they would like to utilize them in.


Accommodations can be provided to students with temporary physical impairments. Students will be required to provide medical documentation of the temporary impairments (letter from physician or medical documents showing the nature and extent of the injury); the student will meet with a SAS staff member to discuss what academic accommodations they will need need. For students with hand or arm injuries, SAS can contact the student's professors to discuss obtaining a note taker and to arrange any testing accommodations the student may need.

Flexible Attendance Accommodation Guide

All students are required to provide their signature as acknowledgement of these guidelines prior to being assigned flexible attendance accommodations from Student Accessibility Services. 

Flexible Attendance Checklist:

  1. The student is responsible for communicating with their Professor regarding their absence in a timely manner. The student is expected to contact their professor prior to an assignment due date or scheduled exam time. 
  2. In some circumstances the student may be requested to provide a doctor’s note to either Student Accessibility Services or to their Professor. 
  3. The student will make up a missed exam or missed assignment within an agreed upon time as specified by the Professor. Two business days is suggested as a standard amount of time to complete the missed work.
  4. The professor has the discretion to decide when absences are too excessive and have negatively impacted the student’s educational experience in the course. In this occurrence, the student may consider other options such as withdrawal, medical withdrawal, or incomplete. 
  5. Some educational experiences such as laboratory work or performance-based assessments cannot be easily made-up and may negatively impact the student’s grade if missed. 
  6. The student will direct all concerns over the application of flexible attendance accommodations to the Director of Student Accessibility Services. 

What is Flexible Attendance? 

  • A common request by students with a medical condition/disability is for their absence from a class meeting to be 'excused' and not subject to the sanction which would be enforced ordinarily by the class instructor.
  • Students most likely to request modified attendance policies as an accommodation are those with serious health-related disabilities that flare up episodically.
  • Students with psychological disabilities who are experiencing an acute exacerbation of symptoms may also request flexibility in the application of attendance policies.
  • Federal law requires colleges and universities to consider reasonable modification of attendance policies if required to accommodate a student's disability. In making this determination, two questions must be answered:
  • Does the student have a documented disability that directly affects his/her ability to attend class on a regular basis? SAS will make this determination based on a review of documentation from the student's health care provider.
  • Is attendance and participation an essential element of the class? More specifically, would modification of attendance policies result in a fundamental alteration of an essential element of the program? SAS will collaborate with the faculty member to make this determination.

The Office for Civil Rights (OCR) has provided the following guidelines to determine if attendance is an essential part of a class.

  • What does the course description and syllabus say about attendance requirements?
  • What elements of the class experience are used to calculate the final grade?
  • What are the classroom practices and policies regarding attendance?
  • To what extent is there classroom interaction between the instructor and students and among students?
  • Do student contributions constitute a significant component of the learning process?
  • Does the fundamental nature of the course rely on student participation as an essential method for learning?
  • To what degree does a student's failure to attend constitute a significant loss to the educational experience of other students in the class?
  • Below are guidelines for how to handle 'flexibility in the application of the attendance requirements / policy may be required' as an accommodation
  • Students registered with the SAS are required to provide a Notification of Accommodations to class instructors specifying the accommodations determined in collaboration with the SAS. These accommodations will have been determined to be 'reasonable' and may include 'Flexibility in the application of the attendance requirements / policy may be required'.

This lets you know that:

The student's medical condition or disability has been verified by the submission of appropriate documentation, that they are registered with SAS and that the student's medical condition or disability may result in unavoidable absences. 


The intent is to take the "automaticity" out of the application of the attendance policy, and enable the instructor to consider the absence as 'excused' even if the standard limit of excused absences has been reached.


This accommodation is not a free pass, and students with this accommodation are cautioned by SAS that even if their absence is due to their disability and beyond their control, such absences may well impact their grade, particularly if the class grade includes an element of participation, in-class exercises, quizzes which contribute to the final grade and/or written assignments. Students are also advised that they are responsible to keep up with reading, obtain class notes from a fellow student, and make up any written assignments they may have missed. Students should make contact with class instructors to discuss the way in which this accommodation will work in practice and to agree upon appropriate procedures and protocols.


Instructors are not obligated to create extra work for either the student or themselves as a substitute for "participation" in class or missed assignments, but are encouraged to consider reasonable opportunities for the student to make up their absence.

Peer Note Taking Information

If you receive a Note Taking Accommodation for your courses please follow the steps using the 'Note Taker Accommodation Form' available in the SAS Canvas Note taking module.This is an accommodation specifically for on campus courses and courses with real time online lectures that are not prerecorded. A separate form will need to be completed for each course.


If you have a note taking accommodation listed in your accommodations letter, navigate to: UNF myWings > Canvas Icon > Student Accessibility Services Course > Modules > Notetaking Accommodations. Please download the Note Taker Accommodation Form to your computer. You will complete the top portion of page two under "Must be completed by SAS registered Student Requesting A Note Taker". After doing so, please save the form with the part you have completed. You can now email it to your professor and indicate on it if you would like to remain anonymous or not. The professor will make a general announcement for a volunteer note taker.


The professor will have the volunteer note taker complete their portion of the form and the form will be emailed to the SAS note taking coordinator: An online folder will be created where the note taker can upload notes and the requester can access and download notes. You will receive an email with a link to that folder. This process is set up to be anonymous, although you are welcome to reach out to a fellow student to be the note taker, if you would like.

Audio Recording Accommodations

Some students with disabilities have conditions that require audio recording as an appropriate accommodation. Audio recording will be noted on the accommodation letter provided to Faculty. Students who require the use of audio recording as an accommodation will be asked to sign an audio recording agreement kept on file in Student Accessibility Services.


Faculty may request to review the signed audio recording agreement. The recording device, whether digital recorder or software on a computer/tablet/smart phone or other hardware should not be used for any purpose other than note taking during a class lecture and should not cause undue distraction in the classroom. Video recording is not a mandated accommodation and may be permitted at the professor's discretion.

Reduced Course Load Accommodation

Accommodation Description: The reduced course load accommodation is for students who (due to the impact of a disability) cannot meet the minimum credit hour per semester standard set by their major, college, or the university. This accommodation must be approved by Student Accessibility Services (SAS) after reviewing appropriate disability documentation or evidence that warrants a reduced course load. 


Student Responsibilities: The student must communicate with SAS about the barriers they are experiencing which prevent them from enrolling as a full-time student. Students considering a reduced course load accommodation should complete the following: 

  1. Meet with Student Financial Aid prior to submitting a request for reduced course load to find out how taking a reduced course load may affect aid/scholarships. 
  2. Meet with academic and program advisors to develop a graduation plan which reflects less than full-time credit hours per semester. 
  3. Submit a reduced course load accommodation request in writing to SAS at  
  4. As needed, request an additional notification letter for the International Center, Student Activities/Athletics offices, or graduate program coordinators.
  5. Acknowledge that a reduced course load accommodation does not alter individual course requirements. 


Course substitutions are applicable in situations where a student is unable to complete the course due to the direct impact of their disability diagnosis. Course requirements for degrees granted by the University of North Florida (UNF) are designed to provide a comprehensive education in both general liberal arts and in the student's field of study. In awarding a degree, UNF is recognizing the satisfactory completion of a set of courses deemed representative of the academic standards it upholds. Therefore, students with disabilities are not excused from degree requirements.


A course substitution accommodation is considered when a student has provided documentation of a disability diagnosis and it is determined that the student's disability leaves the student unable to complete the course requirements. Consideration of a course substitution is determined on a case-by-case basis based on the documentation provided by the student.


In most cases, it will be necessary for the student to have declared a major before the request can be considered. The student will need to consult with their Academic Advisor to determine if the requested course substitution represents a fundamental alteration in the chosen field of study. The University retains the right to require a student to take a course for which they previously received a substitution if the student changes majors and the substituted course becomes essential to the newly declared major. 


The Director of Student Accessibility Services (SAS) will complete a review of the student’s disability documentation to determine initial eligibility for a course substitution. Upon the Director’s approval, the student will meet with their academic advisor to discuss how the course substitution fits into their major. The academic advisor will need to sign off on the course substitution petition stating that the student can meet the requirements of their major with the substituted course/s. 


A student with a disability who would like to request a course substitution as a reasonable accommodation should follow the steps below to complete this process:

Students must first be registered for academic accommodations through SAS. To inquire about registering for accommodations with SAS, contact SAS at 


The student must have appropriate disability documentation on file with SAS (from a qualified health provider) verifying a disability that causes a barrier to the student successfully completing the required course. The documentation should be submitted to SAS in person or emailed to the sas center email account.

Complete the course substitution petition form with a written statement describing difficulties encountered in past attempts to perform successfully within the subject area. Request the Course Substitution Petition form by emailing the SAS center email account. The student’s written statement should explain how their disability has impacted past attempts at successfully completing the course. Comments should include accommodations that were utilized in previous courses in the same content area or an explanation of why accommodations were not used. 


After completing the student requirements for the course substitution petition, have the SAS Director review the petition for approval. Upon approval from the SAS Director, the student will meet with their academic advisor to discuss how the course substitution fits into the course progression plan of their major. The academic advisor will need to sign the course substitution petition stating that the student can meet the requirements of the major with the substituted course/s. 

The student will return the completed Course Substitution Petition to SAS in building 57/office 1500 or to the SAS center email account. 

SAS will add the Course Substitution accommodation upon completion of these steps.

Procedures for Appealing a Denial of Course Substitution Accommodation

The student must submit a written appeal to a committee comprised of the SAS Director, Associate Director, Accessibility Services Specialist, and an Academic Advising Administrator from the college of the student’s program of study within thirty (30) calendar days from the date of the original petition. The written appeal should be sent to the SAS center email account.


The committee must provide a written response within ten (10) calendar days after receiving the student's appeal.


If the committee agrees with the student’s appeal, the course substitution accommodation will be approved. 


As established and defined by the Americans with Disabilities Act (ADA), service animals shall not be excluded from UNF facilities or activities. (Exceptions may exist in some sterile environments, areas requiring protective equipment or clothing, or as mandated by health codes.)


Service animals are defined as: animals that are individually trained to do work or perform tasks for the benefit of an individual with a disability. Such animals might guide individuals with impaired vision, alert individuals who are hearing impaired to intruders or sounds, pull a wheelchair, or fetch items used in daily living (Ref. ADA Title III, 28 CFR Sec 36.104).


Assistance animals, usually referred to as Emotional Support animals, normally provide passive support to people with disabilities. ESAs can be a therapy tool or an integral part of a treatment process. They do not assist individuals with a disability to perform the activities of daily living. Therapy animals are not covered by laws protecting and giving rights to service animals. Approval of the presence of a therapy animal falls within the authority of the university regarding accommodations to a disability.


Documentation of the student's disability and the need to have an emotional support animal must be provided to Student Accessibility Services. Upon approval to have the animal on campus, Housing & Residence Life will be notified of the animal's presence in the residence halls.

Students who request a service or emotional support animal must comply with state and local requirements regarding registration and licensing of the animal as well as having current veterinary health certificates.


If a student has a medical or psychological disability that seriously interferes with the student's ability to successfully complete a course, the student may petition for a Medical Withdrawal by contacting the Dean of Students office at Office of the Dean of Students - Medical Withdrawals.


The Osprey Transit is a dedicated shuttle to assist students, faculty, and staff with mobility needs that extend beyond the assigned standard shuttle stops on campus. While all the Osprey Connector shuttles are full accessible, the customer now has the additional option of requesting a pick up and drop off location on campus.


This exclusive shuttle is equipped with 4 wheelchair seats and 8 - 10 seats for other mobility needs.


Hours of operation include 7:30 a.m. - 9:30 p.m. on Monday - Thursday; 7:30 a.m. - 5 p.m. on Friday. UNF Parking Services (904) 620-2815 Parking Staff will issue a 30- day temporary disability parking permit for use on campus. SAS Testing Lab Stations and Assistive Technology

SAS has assistive software available for registered student use including; JAWS screen reader, Zoom Text screen reading magnifier, Dragon speech to text, Kurzweil 3000 and Sonocent note capture software as well as other applications. Please meet with a SAS staff member to discuss available options.


A SAS registered student may make a request through our office to have any assistive software or hardware utilized by SAS installed in a campus classroom or lab in association with a course they are currently enrolled in. SAS will work with Information Technology Services and/or Physical Facilities to ensure that the device or software is properly installed for registered student use in the course.

UNF Library Assistive Technology

The UNF Library has assistive technology hardware and software available in the Adaptive/Assistive Tech Lab in Room 2300B on the second floor, Room 4106 on the fourth floor, in the first floor commons area as well as on other work stations in the Library. All areas are accessible by elevator. Please ask the library staff for assistance in finding and utilizing assistive technology in the library. The library has JAWS, Zoom Text, Windows speech recognition, CCTV Magnifier's, flatbed scanners, wheel chair accessible tables, automatic door openers, Sorenson video relay equipment and other devices and software to assist students with disabilities.

A fragrance-free environment helps create a safe and healthy space. Fragrances from perfumes, air fresheners, and cleaning products have been associated with adversely affecting people's health including migraine headaches, upper respiratory symptoms, and difficulty with concentration.


Given these realities and our desire to maintain a welcoming, safe and healthy environment, Student Accessibility Services (SAS) is a fragrance-free office.
