Requests to reserve the Talon Room may be made through the Talon Room Reservation Request Form.

Please review the Frequently AskedQuestions below before making a reservation request.

  • Who may reserve the Talon Room?
Only individuals affiliated with UNF (faculty and staff) may reserve the Talon Room. Faculty and Academic & Student Affairs have scheduling priority over the Talon Room and no group is guaranteed use of the Talon Room. The associate VP for Faculty Excellence & Academic Engagement will approve all reservations. The Talon Room is not managed by either the Student Union or the Fine Arts Center.
  • How much does it cost to reserve and use the Talon Room?
Requests to reserve the Talon Room should be made via the Talon Room Reservation Request Form. Your reservation request will be processed within five (5) working days, by which time you will receive a confirmation or denial of your request. Completion of the Reservation Request Form affirms that you have read the terms and conditions of reserving the Talon Room and agree to comply with them.
  • When can I reserve the Talon Room?
The Talon Room is available for reservation on weekdays only between 9:00 am and 5:00 pm on days when the University is open for regular business. The Talon Room is not available on weekends or evenings, federal holidays, and/or when the University is closed.
  • How far in advance should I submit my reservation request?
Reservations requests must be submitted at least two (2) weeks prior to your event date. However, we recommend that you submit your reservation request as far in advance of your event date as possible.
  • How can I cancel my reservation?
Please contact Gordon Rakita, Associate VP for Faculty Excellence & Academic Engagement (GRakita@unf.edu), to cancel your reservation. Failure to cancel your reservation if you do not need the space and/or failure to arrive on time at the opening of the Talon Room at the reserved time may result in denial of future requests to reserve the space.
  • Will the University cancel my reservation?
We will try to honor all approved reservations of the Talon Room. However, in the event of an emergency, for example, a hurricane, we may be required to cancel your reservation. Chances are, if we are cancelling your reservation, the University is closing. We will do our best to provide you with as much advance warning as possible. If we cancel your reservation, we will work with you to try to identify an alternate time if possible.
  • Is it possible to just stop by and see the room?

The 4th floor of Osprey Commons and access to the Talon Room are locked down to all but faculty. All UNF faculty should have their Intellikey coded to allow the elevator in the Commons to access the 4th floor and the Faculty Lounge on the 4th floor. If your key does not work in the elevator, please see the UNF Lock Shop. The Talon Room is right next to the Faculty Lounge.

  • How is the Talon Room set-up/configured?
The room is arranged with eighteen (18) large (approximately 6-foot diameter) tables with eight (8) chairs around each table. A podium centered on the west wall with an associated rectangular table is provided for speakers/presenters.
  • Can I reconfigure the space?
You may move any of the round tables and chairs as you like. However, the space must be returned to the original configuration by the end of the reservation period. Failure to return the space to its original configuration may result in the denial of future reservation requests. University departments/units will be held liable for damage incurred in space during reservation period.
  • Can I reserve the Faculty Lounge next to the Talon Room?
Requests to reserve the Faculty Lounge for a scheduled event must be made to the president of the Faculty Association or to his/her designee.
  • What audio-visual equipment is available in the Talon Room?
The Talon Room is equipped with four (4) projectors and projection screens and two (2) wireless microphones for voice amplification. No computers are provided. To use the projectors, you will need to bring your own laptop (with appropriate HDMI connections; computers with mini display ports will require an adaptor). Power outlets are available along the walls of the room. No technology support is provided by Academic & Student Affairs for the Talon Room and all technology questions and/or concerns should be directed to the ITS Help Desk at (904) 620-4357.
  • How do we access the space for set-up or rehearsal?
If you wish to arrive early to set up, test your PowerPoint, or rehearse your event that time should be included within your reservation request. Someone from Faculty Excellence & Academic Engagement will meet you in the Talon Room at that time to unlock the doors for access. The elevator will not be unlocked. If you require non-faculty to access the 4th floor, you will need to make arrangements to have faculty with key access escort them.
  • What if my event runs over?
Reservation times should include sufficient time for you to clean up and return the space to its original set-up and arrangement. If your event runs longer than the reserved time, then future requests to reserve the space may be denied.
  • What kinds of displays or decorations are allowed within the Talon Room?

All displays and/or decorations proposed by the group shall be subject to prior approval by the associate VP for Faculty Excellence & Academic Engagement. All decorations must be free-standing, and nothing can be attached to any walls, doors, or the ceiling. Live flame of any kind, pyrotechnics, bubbles, fog / smoke machines, confetti, decorative greens that contain pitch, and chocolate fountains are not permitted on the 4th floor of Osprey Commons. Balloons must be attached to weights. All preparations for the event must be performed on the date of said event and within the time that has been reserved unless previously arranged.
