Office of Project and Portfolio Management

The Office of Project & Portfolio Management manages complex, cross-functional IT projects for the university; provides expert services, facilitates governance and promotes the value of project management and business analysis across the University.


The office was established and staffed with project management resources to do the following:

  • Develop and maintain project management methodologies and standards for the organization.
  • Provide Project Managers to manage the larger, more complex, cross-functional projects.
  • Provide Business Analysis and Process Improvement Support to the organization.
  • Support the University's strategic ITS portfolio planning process and provide visibility and governance to the work being done by ITS.
  • Enable communication and collaboration with all stakeholders by trusting and supporting each other, seeking ideas and sharing solutions and working together across boundaries.

Through dedication and leadership, the PMO will provide expert services, facilitate governance and promote the value of project management and business analysis across the University.

Portfolio Management

Portfolio Management at UNF is how we manage the variety of projects that require ITS Resources. Portfolio Management considers the big picture of all of the projects together and includes prioritization and sequencing of those projects based on strategic objectives, criticality and availability of resources.

The Portfolio Management Process is overseen by the Information Technology Advisory Council (ITAC).
The ITAC is created under the authority of the Vice President and Chief Information Officer. ITAC is both a decision-making body and advisory in nature. All committee decisions and recommendations will go directly to the VP-CIO or his/her designee. The VP-CIO, as chair of the Information Technology Governance Committee (ITGC) may bring recommendations to the ITGC as needed.

The purpose of the ITAC is to improve consistency in how IT project decisions are made while fostering an improved level of collaboration, communication, and transparency in all aspects of IT services. The work of this committee is to ensure the alignment of the project portfolio with the University and its strategic objectives, while making the best use of the University’s limited resources.

The ITAC meets monthly, under the direction of the PMO Director, to review and prioritize the UNF project portfolio. All members are expected to attend all meetings and solicit input from constituents on strategic direction and project priorities. A simple majority of the voting members of the ITAC shall constitute a quorum.

ITAC Voting Members

Voting membership on the Committee consists of the following:

  • The University Controller or designee
  • The Assistant VP for Advancement Operations and Annual Giving or designee
  • The Assistant VP, Chief Human Resources Officer or designee
  • The University Registrar or designee
  • The Associate VP for Student Affairs or designee
  • The Associate VP for Faculty Excellence & Academic Engagement or designee
  • The Assistant VP for Digital Learning or designee
  • The Associate VP of Student Academic Success and Undergraduate Studies or designee
  • The Assistant VP of Institutional Research and Performance or designee
  • The Chair of the Faculty Association’s Campus Technology Committee or designee
  • The Associate VP and Chief Information Security Officer ITS or designee
  • The Assistant VP, Campus Technology Services ITS or designee
  • The Associate VP, Enterprise Systems ITS or designee
  • The Director, PMO ITS or designee

 

Business Analysis

Business Analysis is the practice of enabling change in an enterprise by defining needs and recommending solutions that deliver value to stakeholders. [Source: IIBA Business Analysis Body of Knowledge (aka BABOK) version 3.0] Business analysis complements project management by identifying the optimal solution to achieve the desired benefits (i.e. getting it right) while project management successfully delivers the desired outcomes (i.e. getting it done).

Process Improvement

Process improvement transforms organizations. Process improvement is about finding ways for employees to be successful in their jobs. Our Business Analysts will work with you to understand the current process from the perspectives of everyone involved. We use structured problem-solving techniques to identify what is working in the current process and where there are issues. We then work with our team to design the desired future process and the strategies for sharing the new process with the campus.

Project Request Process

Requests for Project Management, Business Analysis or Process Improvement Services can now be entered through the new Demand Request form at help.unf.edu .

If you have never before submitted a project request, or have previously submitted a project request but have not yet used the new Demand Request form, please contact the Project Management Office at pmo@unf.edu to receive training on the new process. After training, you will be granted access to the Demand Request service in the UNF Support Center (help.unf.edu).
