FAQ's

  • What is Cayuse?
    Cayuse is a cloud-based solution that will track externally sponsored proposal and award activity, provide for streamlined internal routing and approval of proposals, submission to sponsor systems, and store proposal and award information.
  • Benefits of Cayuse

  • How do I access Cayuse?
    Cayuse uses single sign-on and can be accessed using your myWings portal. Once you sign-on to myWings, you will automatically have access to the Cayuse system. You can also put Cayuse as a favorite icon on your myWings portal.
  • Cayuse consist of 3 modules
    1. Cayuse SP – Cayuse Sponsored Programs (SP) is used by faculty and staff for proposal submissions, routing, and approvals. Principal investigators can also create proposals and award reports. All proposals are required to be submitted using Cayuse SP. 
    2. Cayuse S2S – Cayuse System-to-System (S2S) is used to submit federal proposals to a federal granting agency. Cayuse S2S replaces submitting proposals through Grants.gov, Research.gov, ERA Commons, etc. Cayuse S2S provides a single portal for submitting proposals to federal agencies. 
    3. Cayuse FM – Cayuse Fund Manager (FM) allows principal investigators to create expenditure projections and track available balances on projects and Individual Professional Development (IPD) accounts. Cayuse FM integrates with Ellucian Banner but does not replace the post-award activities in Ellucian Banner.
  • Do I have to use Cayuse to route and submit my proposal?
    Yes, as of July 17, 2023, the Office of Research and Sponsored Programs no longer accepts paper copies of proposals and is requiring that all proposals are routed through Cayuse.
  • Do I have to use the pdf internal forms for attachments?
    No. Cayuse allows for a paperless submission process. All required internal forms have been created in an electronic format in the Cayuse system. No more emailing forms to ORSP.
  • Do I have to email approvals to ORSP for proposal submissions?
    No. All approvals are done electronically through workflow in the Cayuse system. You can also view who has approved the proposal and who still needs to approve the proposal for submission.
  • Does Cayuse provide real-time available balances?
    ORSP will post monthly reports of proposal and award data on the ORSP website in the Contract Administration section: https://www.unf.edu/research/ca/index.html.
  • Should I download and save my IRBNet protocol submissions
    Yes. You are encouraged to download expedited and full board protocols, IACUC, and IBC submission information from IRBNet for future use. On March 8, you will only have view access in IRBNet and you will not be able to download protocol information
  • What about currently approved studies

    All currently active Full Board and Expedited studies (Legacy studies) will be migrated into Cayuse Human Ethics. Your legacy study shell will be created for you, but you will be required to upload recently approved study documents if modifications or amendments are needed in the future to a study.

     

    All human subject research studies deemed Exempt before March 1, will not be migrated into Cayuse Human Ethics. You can view Exempt studies in IRBNet. Or, if you prefer, you may download documents to keep for your records.

  • What about my Quality Improvement Project (QIP)?
    Studies determined to be QIP or not human subjects research (NHSR) will also not be migrated into the Cayuse system
  • What browsers can I use to access the system?
    Cayuse works best with Chrome, Firefox, or Internet Explorer.
  • What Cayuse training will be available?
    ORSP will offer group training sessions and one-on-one training sessions to the university community. Visit the ORSP website to register for an upcoming training session
  • Who do I contact for help?
    For technical assistance, first contact the Office of Research and Sponsored Programs at 904-620-2455 or email orsp@unf.edu. ORSP staff are readily available to assist you with transitioning to Cayuse.
  • Who do I contact for help with Cayuse Risk Management

  • What UNF research modules are available using Cayuse

    1) Cayuse SP – Cayuse Sponsored Programs (SP) is used by faculty and staff for proposal submissions, routing, and approvals. Principal investigators can also create proposals and award reports.

Cayuse FM integrates with Ellucian Banner but does not replace the post-award activities in Ellucian Banner.

    4) Cayuse HE – Cayuse Human Ethics (HE) increases efficiency with 100% electronic preparation, submission, and routing of human research study protocols. There is also a PI dashboard to track protocol submissions, statuses, create reports, and much more.

    5) Cayuse Animal Oversight- Animal Oversight streamlines business processes with powerful automated workflows and an intuitive user interface for animal protocol submissions.

    6) Cayuse Hazard Safety – Cayuse Hazard Safety speeds review time and increases overall productivity for hazard material protocol submissions.

    7) Cayuse Outside Interests - Cayuse Outside Interests manages financial conflict of interests on research studies through workflows and on-line processes.
