Off-Campus Request Form

UNF Groups must complete the On-Campus Request form.

Request deadlines:

  • Tabling and small meetings rooms: 2 full weeks prior to event date.
  • Medium meetings rooms, ballrooms, auditorium, Osprey Plaza, and the Coxwell Amphitheater: 3 full weeks prior to the event date.
  • Events involving security, entertainment contracts, high attendance, liability releases, work orders, sound outdoors,alcohol, complex diagrams, the Catering Kitchen, technical set-ups, or other similar components: 1 full month prior to the event date.

* Events involving food: If request submitted less than three (3) weeks prior to event date, an on-campus food vendor or one from the registered off-campus food vendors list may be used. If request submitted more than three (3) weeks prior to event date, approval may be secured to use additional off-campus food vendors.


Request submitted after these deadlines cannot be accommodated.

Important Policies and Procedures for Off-Campus Users

  • Soliciting & Fund Raising: In accordance with Florida Administrative Code Rule 6C9-7.010, Soliciting and Fund raising, it is necessary for individuals, registered student organizations, or other groups to have written approval prior to engaging in soliciting. The privilege of engaging in soliciting activities is subject to all applicable University rules and policies, as well as local, state, and federal laws. Permittee(s) shall be responsible for obtaining and complying with all laws and applicable University rules, policies and procedures (e.g., use of campus facilities), ticket box office policy and permittee(s) shall be responsible for all costs, if any, involved in the use of University property or University resources for the purpose of soliciting or fund raising. Permittee(s) shall be responsible for collecting and remitting all taxes applicable to their activity.
  • Demonstrations: Demonstrations may be held anywhere on the campus, so long as they do not disrupt the normal operations of the University or infringe on the rights of other members of the University community, except that no demonstrations are permitted inside University buildings. Demonstrations using a public address system or other electronic amplification and/or involving a substantial outdoor area of the campus and/or a large number of people must be scheduled in accordance with subsection (6) of this regulation. In the event of disruptive action, the procedures set forth in subsections (8)-(10) of this regulation will apply.

The undersigned permittee, for the undersigned permittee and for his/her spouse, children, heirs, beneficiaries, personal representatives and assigns, does hereby waive, release and discharge UNF, UNFBOT, the Florida Board of Governors, and the State of Florida, their officers, agents, representatives and employees (collectively, "Releasees") from and against any and all liability, claim, or action whatsoever arising out of or related to any injury (including death), loss or damage that he/she may sustain, whether caused by the negligence of the Releasees or otherwise, in connection with his/her presence or activities on UNF's campus, and does hereby covenant not to sue Releases for same, and the undersigned permittee hereby indemnifies and holds Releases harmless from the same, including court costs and attorneys' fees. Additionally, the undersigned permittee hereby indemnifies and holds Releasees harmless from and against any liability, claim, or action whatsoever arising out of or related to any injury (including death), loss or damage caused by his/her negligence or intentional act or omission to act while on UNF's campus. Such indemnity shall include court costs and attorneys' fees.
