Living-Learning Community and Theme Housing Room Selection for Fall 2022

Beginning July 5th, YOU will be in the driver’s seat to select your room assignment within the Living-Learning or Theme Housing Community you have been accepted into. Your priority will be determined based the date you submitted your AY 2022-2023 housing contract broken down into specific Room Selection phases. Please review the information and instructions below carefully.

Please read below for more information regarding Phase One and how to select a space.

Preparing for Room Selection

Between now and July 5th, every student with a completed contract for AY 2022-2023 will need to ensure they have read and completed the following, as applicable:

  1. Ensure ALL room and roommate preferences within myHousing are up to date. Any student that chooses not to participate in the Room Selection process will be assigned in order of when their contract was received and based on the availability of their preferences after room selection ends. Once Room Selection begins, students will NOT be able to update preferences within the system.
  2. Search AND mutually accept your desired roommate(s). Please note the following:
  • Both you AND your desired roommate(s) must be in the same Roommate Group to be considered as a mutual request.
  • During the Room Selection process, there are phases in which you will need to ensure you can fill the selected room with accepted roommates otherwise you will not be able to assign yourself to the space.
    • i. Example: If you are looking at a double room during Phase 1 but you have not identified a group member you will not be able to assign yourself into an open double space. You will need to have accepted a second roommate.
  • Every student can have a maximum of 5 accepted roommates. It is not suggested that each student accepts this many requests. The maximum suggested for first-year areas is 3, as the largest room occupancy available to first-year students is a triple occupancy room. For Upper-class LLC participants, we recommend 5 but can accommodate 6.
  • It is important to be pro-active in accepting or declining roommates within myHousing to prevent any issues during the Room Selection process.

 

What are Time Tickets?

Every student will be assigned a time in which all of the available housing options will appear for them to be eligible to select. Prior to the time ticket appointment, no rooms will appear as available to select.

Time tickets are open until the closing of a phase.

  • i. Example: If your time ticket is at 10 a.m. on Tuesday, and the time ticket ends at 9 a.m. on Wednesday, you will have that entire period Tuesday and Wednesday morning to review options and make a selection.
  • Do not take too long, as more students are eligible to select every 15 minutes and options will disappear fast.

What are the phases for Room Selection?

First-year residents will be able to assign themselves into available space based on the following phases of priority:

Phase One: LLC Room Selection with Confirmed LLC Roommate(s) ONLY

(Opens at 10 a.m. on Tuesday, July 5th, 2022 and ends 9:00 a.m. Wednesday, July 6th, 2022)

Phase 1 Time Tickets will be e-mailed on Thursday, June 30th.

Phase One is for LLC students that have a confirmed roommate(s) that is also a member of their Living-Learning or Theme Housing Community. Only those students who have confirmed roommate(s) in their roommate group in myHousing and have enough students to completely fill every open bed space within the room/suite may select and finalize their AY 2022-2023 housing assignment during this phase.

Please note, if you do not participate in Phase 1 of on-line Room Selection a new Time Ticket will be sent to you for you to participate in Phase 2. Phase 2 Time Tickets will be sent after Phase 1 is complete. Time Tickets for Phase 2 are comparable to those issued for Phase 1.

Phase Two: Open LLC Room Selection (With or Without Confirmed LLC Roommate(s))

(Opens at 3:00 p.m. on Wednesday, July 6th, 2022 and ends at 3:00 p.m. on Friday, July 8th, 2022)

Students who did not participate in Phase 1 may select and finalize their AY 2022-2023 housing assignment with or without a confirmed LLC roommate(s) during Phase 2. Students do not have to completely fill a room/suite or have a confirmed LLC roommate(s) to select and finalize their housing assignment. LLC students who may want to live with a non-LLC student will not be able to assign a non-LLC roommate during this phase. That process is outlined below.

Please note, if you assign yourself to a space that has other bed spaces that have not been assigned or do not get assigned during the LLC/Theme Housing Room Selection process you may be consolidated with other LLC participants or you may be assigned a non-LLC roommate.

Phase Three: Housing and Residence Life Assigns

Any LLC students who did not participate in LLC Room Selection during Phase 1 or Phase 2 will be assigned by Housing and Residence Life staff. Housing and Residence Life will utilize the preferences selected in the myHousing portal to complete assignments.

Phase Four: Non-LLC Roommate Pull-In

(Opens at 12 noon on Tuesday, July 12th, 2022)

Should there be open spaces within a Living-Learning or Theme Housing community once all LLC participants have been assigned, LLC and Theme housing participants will have the ability to pull-in non-LLC roommates. The LLC student assigned to the space will need to re-visit the myHousing portal and assign their confirmed non-LLC roommate to the space. Based on Housing Contract submissions and LLC applications, space within LLC’s is anticipated to be very limited. There is no guarantee space will be available to accommodate non-LLC roommates in all LLCs.

Please note, where every reasonable effort is made to accommodate student preferences in consideration to priority date and space availability at that time; it is important to note that NO assignment is guaranteed. This includes specific rooms, housing areas, LLC placement, room types, roommate(s), etc. Housing and Residence Life reserves the right to reassign a student at any time during the contract period for any reason, including but not limited to space availability.

How Do I select my space?

At the scheduled Phase One appointment time, or any time after that during the selection window, follow the steps below.

  1. Login to the Housing Portal.
  2. Select the Housing Contract Menu tab.
  3. Select the AY 2022-2023 Contract Term.
  4. Scroll to the bottom of the page and click the drop-down box to see all options. Then, select Lifestyle Preferences.
  5. The Lifestyle Preferences pages will be brought up with information you have likely already completed. Scroll to the bottom and hit save and continue until it brings you to the roommate selection pages.
  6. If you have already confirmed your roommates, or, you are happy with your roommate group, select Save and continue.
  7. The page will then ask you to confirm your preferences, select save and continue.
  8. You will now be directed to the Room Selection page where you can browse all available rooms that you and your group can assign yourselves into. Refer to higher up in this email as it will contain instructions on how your group must be configured to see spaces!
  9. Select a space for you and/or your roommates and you are all set!
  10. If you are already assigned or have already selected a space, you will first only see your current available space, and will not be able to add a room to your cart, click save and continue, then upon reviewing your roommates, hit save and continue to view all available spaces.

What happens after I have selected my assignment?

There are several important things to note about the LLC Room Selection process, such as:

  1. Students should visit myHousing during the applicable LLC Room Selection Phase and time window for that phase as noted above. If a student misses their priority phase, they are not guaranteed their preferred space will be available to them in the next applicable phase.
  2. During the LLC Room Selection Phases, students will be able to change their previously selected assignment and choose a new one if they desire based on availability. It is important to note that you do so at your own risk. There is no guarantee your previous assignment will still be available if you decide that you want to try to change it back. Changing your assignment at any time is giving up whatever priority you may have had to the space.
  3. Any students that do not participate in LLC Room Selection will be assigned by Housing and Residence Life based on when their contract was received and the availability of their preferences in the myHousing web portal.
  4. Assignment and roommate information will be available for students to view in myHousing once an assignment has been made.
