Policies & Procedures

Hours of Operation

The Simulation Center’s usual hours of operation are Monday through Friday from 8:00 am to 5:00 pm. Accommodations for requests outside of the usual operating hours will be considered on a case-by-case basis. Program liaisons may have additional key access to the center. Additionally, the center is governed by the FSCJ Academic Calendar and UNF Academic Calendar for holidays and campus closings.

Code of Conduct

A code of conduct is essential for promoting professionalism, integrity, safety, and accountability within a simulation center. By providing clear guidelines and expectations, it helps cultivate a positive and respectful learning environment. All guests in the simulation center are expected to abide by the following rules:

Communication

  • Use clear and concise communication with colleagues, educators, and participants.
  • Be respectful and professional in all written and verbal communications.
  • Reservation/setup request requires at least 48 hours' notice. Setup time is 30 minutes prior to ensure proper setup of simulation.
  • Notify Simulation center staff immediately of missing/broken equipment or supplies

 Punctuality

  • Arrive on time for scheduled simulation activities, including setup and debriefing sessions.
  • Instructors are expected to assist with setup and cleanup. Allow 30 minutes before and after sessions.
  • Notify relevant parties in advance if there are any delays, cancellations, or issues.

 Respect for Equipment

  • Handle simulation equipment with care, following established protocols for operation and maintenance.
  • Report any malfunctions or issues promptly to Simulation staff.

 Privacy and Confidentiality

  • Respect the confidentiality of simulation scenarios and participant information.
  • Avoid discussing specific cases or participants outside of the simulation center.
  • Any videos obtained are for educational purposes only.

 Collaboration

  • Foster a collaborative environment by working effectively with simulation educators, simulation staff members, and participants.
  • Be open to feedback and constructive criticism.

 Professional Appearance

  • Dress professionally, following any program dress code policies
  • Simulation staff and faculty required to wear business casual, UNF apparel, or scrubs.
  • Students must wear UNF-issued scrubs or polo shirts as required by their academic program.

 Quiet Zones

  • Abide by designated "quiet zones" during simulation exercises to minimize disruptions.
  • Avoid unnecessary noise or conversations that may distract other participants.

 Safety / Cultural Awareness

  • Prioritize safety during all simulation activities, following safety guidelines and protocols.
  • Report any safety concerns promptly to the appropriate personnel.
  • Be culturally sensitive and inclusive, considering the diverse backgrounds of participants and colleagues.
  • Avoid behavior or language that may be offensive or discriminatory.

Debriefing Etiquette

  • Participate actively and constructively in debriefing sessions.
  • Be mindful of language and tone when discussing simulation scenarios and participant performance.

 Cleanliness

  • Keep simulation spaces and classrooms clean and organized, ensuring equipment is safely stored after use.
  • Dispose of any waste or materials responsibly.
  • Notify simulation staff immediately of spills.

Flexibility

  • Be adaptable and flexible in responding to changing scenarios or unexpected challenges during simulation activities.
  • Work collaboratively to find solutions and maintain the integrity of the educational experience.
  • Stay on script.

 Simulation Staff and Faculty

  • Simulation staff will ensure educators have time and space to conduct their simulation events.
  • Faculty provide the educational experience for students.
  • MedNexus Staff are not allowed to proctor tests, monitor classes, or assist with evaluations.
  • MedNexus Staff are not licensed nurses and do not “teach” in the center.

Requesting Simulations

A Simulation Request must be submitted via email to Coordinator, Hannah Boudreauxh.boudreaux@unf.edu with the following information: 

  • First and last name of all persons to be added to the calendar invite
  • Course title (include number, example PNC 3470 Clinical Trials)
  • Space(s) Needed:
    • Skills lab
    • Classroom
    • Simulation Room (In patient room, ED, Birthing Suite, Home Health)
    • Health Assessment lab
    • Debriefing Rooms
  • Description of the simulation experience you are trying to create. Please be aware finalized logistics will be discussed with your program liaison.
  • Number of learners
  • Dates and times of request

Important Reminders

  1. Simulation reservations are approved on a first-come, first-serve basis with the Brooks College of Health School of Nursing and HCA receiving priority booking.
  2. The MedNexus Simulation Center calendar is available for all staff/faculty in the Brooks College of Health. Requesters will be able to see the availability of the center by adding the MedNexus Simulation Center Calendar to their Outlook Calendar.
  3. Once approved by the MedNexus Simulation Coordinator, an official meeting invite will be sent to the requester with the information provided from the request email. Requester is responsible for notifying other parties involved in their simulation.
  4. If the date/timeframe/resources requested cannot accommodated, then the coordinator will email the requestor and suggest alternatives.
  5. The Center holds the right to change a session’s location to accommodate new sessions. Communication will be sent to all parties regarding the change.
  • An event is officially booked when the requestor receives a meeting request from the Center Coordinator stating that their request has been approved.
    1. Please do not assume an event is booked if you do not receive an approved meeting request.
    2. Be sure to appropriately book all ancillary spaces including classrooms, debriefing rooms, and learning spaces as needed.
    3. Once the event is booked, the Center Coordinator will include the Nursing Simulation Liaison (or respective liaison) and Simulation Center Staff on the meeting request. The liaison will work with users to conduct a Needs Assessment form to design the learning experience including technology, scenario, and supplies. The liaison will work with the Simulation Center Staff to ensure the appropriate technology, equipment, and supplies are available.
  • Cancellation Policy
    1. If the user needs to cancel a session, the person/requester who scheduled the session or the instructor should contact the Simulation Coordinator with as much notice as possible.
    2. The coordinator will remove the session(s) off the Center’s calendars and send an official cancellation notification to the requestor.
    3. It is the instructor/requestor’s responsibility to inform the participants of the cancellation.
  • Oversight of Simulation Activities
    1. In addition to working closely with the program liaison and simulation staff, users are responsible for:
      1. Printed scenarios
      2. Testing mannequins and equipment during set up
      3. If there is videotaping, ensuring that participants have completed proper releases.
      4. All materials for the scenario are in the environment for the learner.

Needs Assessment

Once a simulation is booked, the program liaison will work with the faculty to design the simulation experience and guide the development of goals and objectives for the scenario. During this needs assessment session, all aspects of the scenario are discussed including:

  • Purpose
  • Goals/Objectives
  • Debriefing Framework
  • Educational Learning Theory
  • Number of students in each class
  • How often are simulations rotated??
  • Type of student
  • Level of fidelity required
  • Environment
  • Bedside lectures
  • Task Training
  • Examination of knowledge, skills, behaviors, clinical practice guidelines, patient safety goals, quality improvement plans.

This step in the simulation process is required unless the faculty member has already completed the process before and is simply requesting the simulation to be run/conducted again.

Setup and Clean-up Guidelines

The following guidelines specify the setup and clean-up procedures for participants:

  • Program liaisons and instructors are responsible for setting up, break down, and clean-up of the simulation room being used.
  • A minimum of 30 minutes is required for sessions to be set up.
  • Transition and debriefing time must be planned during the Needs Assessment process.
  • If a training session starts in the morning, the session may be set up the night before depending upon the room’s availability.
  • If the room is unavailable the night before, the Center requires a minimum of 30 minutes prior to the start of the session to ensure proper setup.
  • All rooms must be cleaned after all sessions are completed.
  • Participants are expected to help with clean-up after the last session.

Maintenance of Mannequins

  • The MedNexus Simulation Center utilizes the manufacturer warranties for its mannequins. The warranties include yearly preventative maintenance (PM) and access to phone and on-site support for necessary repairs throughout the year.
  • Mannequins are examined for problems before and upon completion of Simulation Day. If problems are found, they are to be annotated on a Maintenance Report Form found in each control room. If the problem cannot be corrected by internal personnel, the Simulation Staff contacts the manufacturer for assistance with the repair.
  • Monthly maintenance will occur on each piece of equipment and simulators internally. A log of maintenance resides in the Simulation Center to capture this process. If any issues are found a note in the log will occur and a decision for a resolution will be decided by the Simulation Staff.

Safety Practices

  • Accidents, injuries, and emergencies can occur during the simulation experiences. Please report all emergencies to both Simulation Staff and Liaison.
  • Faculty, liaisons, and simulation staff are responsible for managing all aspects of the simulation including any accidents, injuries, or emergencies.
