Teams Overview

Qualifications for all Team Members

Team members are selected for, and must abide by, the following qualifications:

  • Ability to make decisions by consensus;
  • Ability to work well under pressure and in a professional manner;
  • Detailed knowledge of their functional area;
  • Ability to listen and value input from all participants;
  • Committed to clear, shared goals; and
  • Ability to work as a team and to interact on a regular basis to accomplish specific tasks.

Functional Teams

Functional Teams will be organized to correspond to SCT Banner functional systems, except as specifically noted below. While each core process is being implemented in Banner, the corresponding Functional Team will meet weekly. They will report status to the Coordinating Committee after each meeting. Meeting agendas and minutes may be sufficient to report status. The official channel for communications among the Coordinating Team members will be email. Meeting invitations, status reports, etc., will be communicated by email. All members will access email with sufficient frequency to acknowledge invitations in a timely way.

Each Functional Team is the primary liaison between all groups involved in the particular area and will work with non-implementation personnel where appropriate. The Functional Teams will make process and procedural decisions related to the implementation in their functional areas. The Leader of each team will be responsible for facilitating communication between team members and monitoring progress towards completion of tasks and deliverables assigned. During its implementation cycle the initial schedule will assume that each Functional Team will meet at least on a weekly basis. The Functional Team members will attend the system education training sessions provided by SCT. During its implementation cycle, each Functional Team member should expect to devote 25-50% of his/her time to the Banner project. Heavier time commitments will be required during certain testing and go-live periods.

In addition, Functional Teams will perform specific tasks related to the implementation, including:

  • Assist SCT with Business Practice interviews
  • Model, prototype, refine, and test business processes
  • Ensure completion of major tasks (such as testing of prototype, security set-ups, interfaces, and report development)
  • Define and test user procedures for their area
  • Develop Policy and Procedures Manuals and end-user training documents;
  • Validate converted data in their area; and
  • Review problems and issues and make recommendations to the Coordinating Committee when necessary.

Work Groups

Work Groups will be established as needed to perform specific activities in the implementation plan. Each Work Group will receive a written charge, scope of work, and planned completion date created by the Chair of the Team creating the Group.

The members of the Work Groups are responsible for providing information to the Functional Team and assisting them in making decisions, as well as recommending overall solutions.

The Lead person of a Work Group will be a member of the Functional Team and will be accountable to the Functional Team or Coordinating Committee. Work group members are accountable to the person designated as Lead of their Work Group.

The Work Teams and supporting Groups will:

  • Define and test User Procedures for their area;
  • Develop Policies and Procedures Manuals in accordance with the standards defined by the Coordinating Committee;
  • Provide research support for issue and problem resolution as directed by the Functional Team;
  • Assist in the definition and design of the conversion plan and strategy;
  • Validate converted data owned by their areas; and
  • Test application as implemented for correctness and functionality.
