New Grade for Military Service Withdrawal (WS)

New Grade for Military Service Withdrawal (WS)

Recommendation: The Academic Standards Committee supports the official implementation of a new grade for Withdrawal for Military Service (WS).

Rationale: Following the attacks on September 11, 2001, and a request from the Governor of Florida to respect the orders of our military personnel, the University President issued a mandate that students who were called up to active military participation at any level would be allowed to withdraw and receive a full refund of tuition and fees. This mandate has been followed, but no policy was enacted by the Faculty to support it, and no new grade was affiliated with it. The start of a policy was apparently drafted and exists in hard copy, but was never put forward or acted upon: that hard copy has been scanned and is attached here. Faculty action and the implementation of a new grade need now to be completed. A proposal for the wording of a new policy is attached.

Proposed Policy for new grade WS, Withdrawal for Military Service

Policy Subject:  Students called to active military duty

Effective Date:  (Originally 12/5/2001)

Responsible Unit:  Academic Affairs

 I. Objective and Purpose
To establish a University policy for students who are called up for the purposes of military     duty.

 II. Authority
     University President

 III. Statement of Policy
Students who provide advanced notice are entitled to a leave of absence to engage in active duty, training for active duty, initial active duty for training, inactive duty for training, full-time National Guard duty, or attendance at an examination to determine their fitness for these kinds of duty.

These students will be provided with full refunds of tuition and other fees and will have a "WS" posted for the courses that were in progress at the time of their request.

The degree requirements that were in effect at the time when continuous enrollment was broken, including pre-requisite and general education requirements, may be applied to these students' programs of study at the time of their return.

  IV. Statement of Procedures

Students called to military service may withdraw themselves online in MyWings or in person at One-Stop Student Services up until the deadline to withdraw for the term. To receive a full refund, the student must provide a copy of his/her orders with a fee petition to the Controller's Office up to six months after the term.

If the withdrawal deadline has passed, the student must submit a copy of his/her orders with a Waiver of University policy to One-Stop Student Services. After review by Academic Affairs, the grade of WS will be recorded for ALL courses in which the student was enrolled (unless a grade of incomplete was issued by an instructor). Once the WS is assigned, tuition will be refunded for those courses.
