UNF Administrative Applications Menu:

Orientation Dates

This application is used to set up the dates for Orientation.  The user selects the start date, start time, end date, end time, session number, tag (FTIC, APP, Honors, Transfer, Post Baccalaureate, and Graduate), overnight fee indicator, type (Freshmen, Transfer, Post Baccalaureate, or Graduate), maximum number, and a comment (not required) for the selected term.  Once students are registered for a session, then the user can view the roster in Excel format.  The roster contains the student’s UNF ID, name, college, major, admit type, classification, orientation term, orientation date, session number, tag, and email address.

Intended Audience/Users:  Enrollment Services, Advisors, Graduate School

Orientation Fee Deferments/Exemptions

This application provides a means to exempt or defer first-time-in-college students from the requirement to pay the orientation fees up front. If a student has already registered for orientation, users are not allowed to update the existing exemption or deferment records for the student.

Intended Audience/Users:  Enrollment Services

Orientation Fee Maintenance

This application is used to set up fees for orientation. It is expected that the fees should be established before first-time-in-college students pay their orientation fees.

Orientation Registration

This application is used to assign an Orientation Session to a student.  The user inputs a term and UNF ID for a student who has been admitted.  Information about the student and any existing orientation sessions will be displayed.  The user can indicate if the student attended the session or delete the student from a session.  If a session is indicated, then the session date and time, session number, tag, and type will be displayed.  The student’s program, college, major, concentration, student type, admit type, classification, athlete indicator, email address, phone number, override code, heath hold, other holds, birth date, ethnicity, comments, and test scores will be displayed.  The Orientation Sessions for which the student is eligible will be displayed in a list at the bottom of the screen.  The date and time, session number, tag, type, maximum number, number of students assigned (RSVP), number of students who attended, status, and session comment are displayed in the list.  The user will select a session from the list then select the “Update” button to assign the student to the selected orientation session.  However, if the student is an FTIC who has not paid the orientation fees or has no fee deferments/exemptions, the user will not be able to select any sessions from the list.  Overbooked sessions are highlighted in red. A contact code of "R19" is added as a contact type (SORCONT) with the date and time of the Orientation which is used for communication.  An admission decision of 'AC' is added to the student's record as a confirmation once the student registers for orientation.

The Print Indicator is not used.  The File Indicator is updated through an automated process (see below).

Student Services Menu:

Orientation Registration

Students who have been admitted to the University of North Florida may register for Orientation.

The student will select a term and orientation session from the drop-down boxes.  The student must also acknowledge a statement of understanding regarding Orientation Fees.  The term selection is based on terms for which the student has been admitted.  The orientation session selection is based on the type of student and whether or not the student has been admitted into the Honors program.  After the student makes the selection and selects the submit button, the selected orientation session is displayed.  The number of reservations for the selected orientation session is automatically updated.  If a student is changing their reservation, then both orientation sessions will be updated. For an FTIC student who is required to pay the orientation fees, the user will be redirected to the UNF UPay site for payment.  Upon return, if the payment is successful, the reservation for the selected term and orientation session will be performed.  In addition, the charges and payments will be added to Accounts Receivables.  If the payment is not successful, the reservation will be cancelled and an appropriate message is displayed.  A contact code of "R19" is added as a contact type (SORCONT) with the date and time of the Orientation which is used by BRM for communication.  An admission decision of 'AC' is added to the student's record as a confirmation once the student registers for orientation.
