Spring 2012 Check-Out Information

ALL RESIDENTS must be checked out of their Spring 2012 assignment within the established guidelines: 

  1. Students not staying on campus for summer intersession must be checked out of their Spring 2012 assignment 24 hours after their last exam or no later than 3 p.m. on Friday, April 27, 2012, whichever comes first.*
  2. Students who have a Summer A Housing Contract and are participating in Summer Intersession Storage must move their personal items into their Summer A assignment and be checked out of their Spring 2012 assignment no later than 7 p.m. on Friday, April 27, 2012.   3. Students who have a Summer A Housing Contract and are participating in Summer Intersession Housing: Must move to their Intersession/Summer A assignment and be checked out of their Spring 2012 assignment no later than 12 noon on Saturday, April 28, 2012. See Summer Intersession information for details.
  4. Spring 2012 Graduates must be checked out of their Spring 2012 assignment no later than 12 noon on Saturday, April 28, 2012.

NOTE: Current Spring 2012 residents who have a Summer A assignment AND have paid or deferred their Summer A 2012 rent may request to live on campus or store their personal belongings in Osprey Fountains during Summer Intersession (April 27 - May 8, 2012).

 

*FSCJ students residing on-campus during Spring 2012 can request an extension to remain on-campus until their FSCJ final exam period ends. Extension requests must be received by 5 p.m. Friday, April 20, 2012. Documentation is required and extensions are not automatic.

 

 

ALL RESIDENTS MUST SIGN-UP FOR ONE OF THE FOLLOWING CHECK-OUT OPTIONS: 

Option 1: Express Check-out (April 18 – April 27, 2012)

Express Check-out allows a resident the convenience of checking out at any time without the need to meet with a Resident Assistant.

  1. Sign up for Express Check-out (at least 24 hours in advance) by logging into myHousing. Sign-up for Express Check-out will be available to residents as of April 13, 2012.
  2.  Pick up an Express Check-out envelope (envelopes are available at: Housing Mail Room, Welcome Desk, Housing Office or from any RA).
  3. Pack, clean and move out of your room/suite/apartment.
  4. Complete an Express Check-out envelope.
  5. Lock your door.
  6. Place your room key in the Express Check-out envelope, seal and drop off Express Check-out envelope in any drop box location (Housing Mail Room, Osprey Village Laundry Room or in the courtyards or atriums of buildings Q, R, S, T & W). Residents may also drop their Express Check-out envelope off at the Central Housing Office (M-F 8am – 5pm) or at the Osprey Fountains Welcome Desk (open 24 hours a day).

NOTE: Your room will be inspected by a staff member after you leave. Please note, residents choosing Express Check-out agree to pay for all charges associated with damage, cleaning and/or missing furniture, including common area charges shared with a roommate(s).

 

Option 2: Regular Check-out (April 23 – April 27, 2012)

Regular Check-out requires you to schedule a specific appointment time (at least 24 hours in advance) to have your room inspected by a Resident Assistant after you have removed all of your belongings.

  1. Sign up for Regular Check-out (at least 24 hours in advance) by logging into myHousing. Sign-up for Regular Check-out will be available to residents as of April 13, 2012.
  2. Pack, clean and move out of your room/suite/apartment.
  3. Your RA will inspect the room and review the Room Condition Form (RCF) with you. The RCF will be compared to the current room condition to determine if there are any damages.
  4. Return your key to the RA and complete final check-out paperwork.

NOTE: Housing and Residence Life reserves the right to reassess the room/suite/apartment after preliminary inspection by the Resident Assistant and re-adjust charges if necessary.

 

 

ADDITIONAL CHECK-OUT INFORMATION

  • If you are aware of ANY damages and/or cleaning issues, you must choose the Regular Check-out option with your RA. Do not use Express Check-out. 
  • Students who choose to participate in Summer Intersession (April 27 – May 8) must complete the Summer Intersession Agreement no later than 5PM on Friday, April 20, 2012.
  • Portable storage units are not permitted in any housing area or parking lot. If you need storage, you must transport your belongings to an off-campus storage facility.
  • UNF is not responsible for any items left in rooms. After 48 hours any unclaimed items will be disposed of and/or donated to charity.     
  • Cleaning and/or damage charges will be assessed according to the labor and costs involved.

 

During the check-out period the Central Housing Office will be open: 

Monday, April 23rd - Thursday, April 26th - 8:00 a.m. - 5:00 p.m.

Friday, April 27th - 8:00 a.m. - 7:00 p.m.

 

 

CLEANING STANDARDS

  • Residents are to have their room/suite/apartment thoroughly cleaned in accordance with the established cleaning standards BEFORE THE FIRST RESIDENT OF THE ROOM/SUITE/APARTMENT CHECKS OUT. The room/suite/apartment must then remain clean throughout the check-out period. If a room/suite/apartment is not cleaned to the outlined standards and remain clean, all residents of the unit may be held equally responsible for the charges associated with the cleaning.
  • Failure to thoroughly clean the room/suite/apartment to the specified standards will result in a minimum of $50.00 cleaning charge.

SUMMARY OF POTENTIAL CLEANING & DAMAGE CHARGES

 

Improper Check-out - $40.00
Residents who do not complete ALL of the necessary check-out steps outlined, including but not limited to missing a scheduled check-out appointment or failing to schedule a check-out at least 24 hours in advance, will be assessed a minimum charge of $40.00.   Students who have not checked out after the designated check-out time will be assessed a minimum charge of $100.00 per night. This will be in addition to the initial $40.00 Improper Check-out Charge.

 

Key Replacement - $40.00
Due to loss or damage.

 

Furniture Removal/Disposal - $200.00
Any non-university furniture left in a room/suite/apartment will be disposed of and charged a minimum $200.00 disposal charge to be split equally among residents within that room/suite/apartment.                  

 

Bathroom Cleaning - $100.00
This includes one or all of the items not being clean - shower/tub, sink, toilet, flooring, etc.

 

Vanity Sink Cleaning - $20.00 

 

Removal of sticker, tape or sticky residue- $80.00/occurrence  

On interior or exterior of walls, ceiling, mirrors, windows or doors, etc.

                

Repair of Hole/Drywall (<1” – 6”) - $50.00/occurrence 

 

Repair of Hole/Drywall (> 6”-12”) - $100.00/occurrence 

 

Replacement of Blinds:
Landing, Crossings, Cove, Village - $80.00
Hall & Fountains - $160.00 

 

Removal of Trash - $40.00/bag 

 

Room Recovery - $300.00
Any room/suite/apartment that has pet, smoke and/or excessive odor will be assessed a minimum $300.00 Room Recovery charge to be split equally among residents within that room/suite/apartment.

 

NOTE:  Housing and Residence Life reserves the right to reassess the room/suite/apartment after preliminary inspection by the Resident Assistant and re-adjust charges if necessary. This summary listing does not constitute a complete list of potential charges.  

 

MAIL & PACKAGE INFORMATION

Students not living on-campus for Summer A 2012 must arrange to have all personal mail and packages sent directly to their off campus address/point of contact. This includes, but is not limited to notifying:  family, friends, financial institutions (banks, credit card companies, phone companies, etc.) and magazine/periodical publishers of your new off-campus address.

 

The Department of Housing and Residence Life will continue to deliver mail to all Spring 2012 mailboxes until Friday, May 4, 2012. After that date only mail for Summer A 2012 residents will be delivered to on-campus mailboxes.

 

After Friday, May 4, 2012 all unclaimed first-class mail and packages for individuals not living on-campus for Summer A 2012 will be stamped “Return to Sender”.  Please note that non-first class mail cannot be returned to sender and will be discarded. Housing & Residence Life will not hold or forward any unclaimed mail.

 

Students returning to live on-campus for Summer B 2012 will need to arrange to have all personal mail and packages temporarily sent directly to their off-campus address/point of contact between Spring 2012 check-out (April 27, 2012) and Summer B 2012 check-in (June 24, 2012).

 

Students returning to live on-campus for Fall 2012 will need to arrange to have all personal mail and packages temporarily sent directly to their off-campus address/point of contact between Spring 2012 check-out (April 27, 2012) and Fall 2012 check-in (August 19, 2012).

 

CHECK-OUT CHECKLIST

  • On or after April 13, 2012, sign up for a check-out option by logging into myHousing. All check-out appointments must be made at least 24 hours in advance.
  • If damage or cleaning issues exist in your room you must utilize the Regular Check-out option. Do not use Express Check-out.
  • Clean room and remove all of your belongings before you check-out. This includes: shelves, concrete blocks, carpet, posters, furniture, closet items, etc. Specific cleaning standards will be e-mailed to your UNF e-mail account.
  • Clean all common areas (kitchen, living room, bathroom(s), vanity sink(s), etc.) These areas must be cleaned by the time the FIRST resident in your room, suite or apartment checks out. These areas must remain clean throughout the check-out period. Otherwise, your check-out may be delayed and/or result in cleaning charges.
  • Close and lock all windows, close blinds, turn off all lights, adjust thermostat to approx. 75 degrees, if applicable.
  • Check the room, suite or apartment carefully before you leave. Once you return the key you will not be permitted back into the unit.
  • Place all aluminum cans, water bottles, magazines, paper, newspapers, Clean 1 & 2 plastics and cardboard boxes in a nearby recycling dumpster. Place all non-recyclable items in a nearby trash dumpster.
