Meeting was called to order at 12:15 p.m.
Discussion of Banner issues continued . In response to a follow-up letter from Rao, the following issues were discussed.
1.
Better password system for e-mail paystub. Shuman explained that the EVISION software which provides the e-mail paystub has limited abilities. It cannot randomize passwords. Consultation with IT staff has convinced her that the first initial/last initial and last four digits of SS# provide suitable security. King mentioned that use of last four digits of SS# is not permitted for classroom use and may not be acceptable for faculty/staff use as well.

Pay stub information. Campbell shared a memo with the committee that she will send to all faculty to help explain the pay situation. It addresses dates, number of pay periods, payroll schedules, and the calculation of gross pay. It also addresses health and life insurance deductions. The committee also requested a legend of the codes which are used on the paystub also be added to the memo…some of the codes are hard to decipher. Weber reported major issues with being paid through Banner for work covered by grants. She has missed some paychecks this year; she would not have known about the underpayment unless an audit had found the error. Insurance was also cancelled without notice due to a hard to trace problem. This lead to a further discussion about the financial reporting in Banner regarding grants. Todd Parish, Weber’s assistant, reported that grant expenditures cannot be followed on current financial reports. He also reported that his own pay (which is supposed to be from a grant) is not being deducted from the grant properly. He also reported that fiscal year close causes problems with grants (dates of which may extend beyond June 30). Members of the committee felt that if these issues were impacting the relatively small number of people serving on Support Services Cmte…that many other faculty may be impacted…and not realize it. Shuman stated that changes made recently to PAF forms will better manage grant-pay. She also said she would examine the issues regarding Weber and Parish’s grant-related problems. Other problems such as the double-deduction for UFF dues and faculty sick leave for summer have been corrected. Shuman said that the reason UNF has had so many payroll problems was that this function did not previously exist on campus. It had to be created due to state-mandated changes.
 
3.
Downloading pay data to spreadsheets —Shuman stated that using Banner self-service and cutting/pasting the data was possible.
 
4.
Rao said another problem about FICA not being deducted from summer pay was reported to him. More detail about the issue was requested from our visitors.
 
5.
Online grade change—Brayton reported that Banner provides no function for this . Registrar’s Office can and will provide this manually using a form. Brayton said that this is an enhancement she would like to see added to the system but it is a lower-priority right now. The concentration right now is on issues that impact all or very large numbers of faculty and students.
