Automating the APC Processes Requirements Workshop

The meeting was called by Chair Janet Bosnick after learning that partial funding for the workflow project to automate the APC process had been received. Stacy Hutchings and Arturo Sanchez, developers of the Workflow Generator and Tracking System that will be used to automate the APC processes, requested assistance in identifying the factors that must be included in the system. The goal of the workshop, conducted by Arturo Sanchez, was “to capture potentially unseen requirements” from the APC members as users of the system. As the discussion progressed, the members identified initial questions and issues that need to be addressed.

   
Workflow progression. Changes in the workflow can be made. Arturo and Stacy will meet with Cindy and Janet to discuss the direction of the workflow and what is needed by Cindy to complete her work.
   
All transactions will automatically be logged with an ID number. Is there a need to manually log each transaction?
   
Email notification
Emails can be set to go to specific people and those people can choose to receive the emails or not receive them. The people who log in every day to view thetransactions may not want to receive the emails notifying them of transactions.
   

Required fields
The system will let the initiator know if there are fields that must be completedbefore submission. Which fields should be required?

   
There will need to be a workflow engineer and administrator in 2007 when Arturo is no longer a Committee member.
   

Reports
There is often a need for reports to be generated. Arturo and Stacy will work on an archival feature that allows for searching, generating reports, and printing. On example is the need for lists to be printed for the APC agenda items that go to the Executive Committee and then placed in the Faculty Association Meeting packet.

   
What is the meaning of “pushed back?” If something is changed, does the form need to go back through all of the people in workflow system. Can learning outcomes be improved by the initiating faculty member and then sent directly back to the FA Office?.
   
What is modifiable by whom?
   
Mary Frucelli, Enrollment Services, will send a wish list to Arthur that will let him know what the office needs for the system to do and what information should be provided.
   
Technical issues
Arturo discussed the possibility of migrating to Oracle. He said this is not strictly needed.
   
Authentication method
What method of authentication should be used? The user can access the system through the APC page or through myWings. The user must be registered in the system.
   
Arturo will contact ITS to let them know how where we are in the process. We have not received an answer on support from ITS.
   
Arturo will set up the Blackboard session and will email the APC to let the members know when they can login and participate in discussion.
