MINUTES OF MEETING
NOMINATIONS AND ELECTIONS COMMITTEE

Approval of Minutes: |

Minutes of the September 30, 2004, meeting were seconded and approved. |

Deadlines: The Committee established their deadlines for the election process for the Spring 2005 Elections.
March 1, 2005 is the deadline for committee to turn in nominations to Cindy Chin at the FA Office and Barbara Olinzock.
Chair Olinzock urged all committee members to check the "hotline" area at the FA website to check for at-large vacancies and the vacancies each school needs to fill for the next period. There are two types of committees: Faculty Association and University Committees. Committee members need to check the qualifications of the nominee against the requirements of the committee.
Ways of Recruiting: The Committee discussed various ways of recruiting faculty to fill vacancies on the committees. Several suggestions included: personal contact, asking Department Heads for assistance, announcements in departmental and faculty meetings, and email announcements. Committee members should direct interested persons to the "hotline" area on the FA website for brief descriptions of each committee and the qualifications required to serve on the committee. Committee members should also emphasize that any UNF faculty member is eligible to serve on a committee as long as they meet the requirements of the committee.
Suggestions for Committee Service: The Committee discussed ways to rank the various committees as an informative tool for new faculty. After studying the requirements for each committee, the N&E Committee came up with a list of committees dividing between those that would need more experienced faculty from those who could use all faculty, including new faculty. Again, this list is merely a guideline for those new faculty members who are just learning the UNF system.

Chair Olinzock reminded the Committee of some of the guidelines concerning nominations: |

| 1. |
Faculty members can serve on only two committees at one time. |
| 2. |
Anyone can nominate himself or herself for a committee vacancy. |
| 3. |
More than one person can be nominated for a vacant position. |
| 4. |
Double-check the qualifications of the nominee, against the requirements of the committee, before submitting the name to Cindy. |
| 5. |
Notify Cindy Chin of your list of nominees. |
| 6. |
Maintain a paper trail of your nominees. |
| 7. |
Committee deadline for nominees is March 1, 2005. |

Committee Tasks or Charge: Chair Olinzock indicated the following charge for the Nominations and Elections Committee. |

| 1. |
March 1, 2005. Obtain a list of nominees to fill committee vacancies. |
| 2. |
March 3, 2005. Present a tentative slate of nominees to the Faculty Association, during the monthly meeting, and take nominations from the floor. |
| 3. |
April 7-8, 2005. Elections take place. Ballot box has to be manned from the FA meeting on April 7th (Thursday) until April 8th (Friday) at 1 p.m.
The ballot box will be at the FA meeting and moved to the Faculty Commons Room after the meeting. |

April 8, 2005. 1 to 5 p.m. Committee members are needed to count ballots. |

Other Discussions and Announcements: |

The Committee discussed ways of making the next election more efficient. A suggestion was made by Russell Mays that the Committee utilize Blackboard for posting the next election voting ballot. Since there has be resistance to using this technology for voting, in the past, the Committee decided to explore this option further before presenting the proposal to the FA Executive Committee. |
