Marketing Match Program Guidelines

The following guidelines will govern the review and awarding of funds under the Integrated Marketing Team’s Marketing Match (M&M) Program.

PURPOSE OF PROGRAM

The M&M Program is designed to assist individual University units with marketing activities and to promote the University’s brand.

PROCEDURE FOR APPLICATION

  1. Any designated University unit (department, division, center) may submit one application per semester to be considered for M&M funding.
  2. Each unit submitting an application for funding must submit a marketing plan for the particular project which briefly explains goals, target audiences, costs and the manner in which results will be evaluated.
  3. Applications are to be submitted to the IMT chairperson at least one week prior to consideration by the full committee.
  4. Units may request up to $5,000 in matching funds per semester.

CRITERIA FOR EVALUATION

IMT members will evaluate each application for M&M funding on the following criteria:

  1. Has the unit submitted a complete application describing the purpose, target audience, cost and criteria for evaluating the success of the proposed project?
  2. Does the proposed project not only advance the goal of the requesting unit but also build the University’s brand?
  3. Has the requesting unit verified that is has sufficient funding to match the IMT’s funding?

APPROVAL OF FUNDING

All units submitting the above information will be considered for funding by the IMT.  A motion made and seconded by an IMT member not associated with the application can approve funding.  A simple majority of members must approve all M&M requests.

FUNDING PROCEDURE

The Office of Marketing & Publications will administer all matching funds approved by the IMT.  Approved funding will be transferred into the E&G budget of the requesting unit.  The unit will be responsible for executing all necessary requisitions and complying with all Purchasing regulations.

POST AWARD PROCEDURE

  1. Each requesting unit awarded funding under the M&M Program shall submit proposed designs to the Office of Marketing & Publications for review to assure compliance with Visual Identity Standards and the University’s branding program.
  2. Following the completion of each project, units will submit a report to the IMT verifying how M&M funding was expended and the results of the marketing program.  Units not submitting a final report will not be considered eligible for future matching funds.
