Creating Class Lists for use with the Email Class Link In Banner Self Service

Follow these steps to create an Outlook Distribution List that can be used with the "email class" link in Banner Self Service.

Here is an explanation - There is a link for each CRN (Course Reference Number) in the Faculty Services function in Banner that allow you to send an email to individual students or the class as a whole. These links rely on there being a default email client (not just a web-accessible e-mailbox, but an actual e-mail program like Outlook) on the computer you're using. In most cases on campus, no problem - most people have and use Outlook. When you click on the link for emailing the entire class, a new mail message in Outlook will be invoked, with the To: field populated with the UNF addresses of the students in that particular course (CRN).

There is a way to create a Distribution List for each course in your Outlook Contacts from the New Message generated when you click on the class email link in Banner. Once you've created Distribution Lists, you will no longer need to be concerned about having an email client on a computer when you want to send an email to any of your classes, since you can access the Distribution Lists from Webaccess.

Get Started

- Log in to myWings.
- Click on the Faculty/Advisor tab
- Click on "Faculty and Advisor Self Service"
- Select the course you're interested in.
- Go to Summary Class List
- Click on the Email to class link (icon has an envelope pictured). An Outlook New Message window should appear, with each students' UNF email address in the To: field.
- If you do not wish to create a Distribution List in Outlook, proceed with composing and sending your message and skip the instructions below. Sent messages should be saved in your Sent Items folder, just like any other email you send from Outlook.

Step 1: Set up the distribution list

Step 2: Populate the distribution list

Step 3: Create a New Distribution List

Step 4: Put/paste class data into new dist list

Step 5: Save

Repeat the last two sets of instructions for each course you teach. Please remember that these lists cannot
be updated automatically. If students add to or drop from one of your courses, you must manually
add or remove the students' email addresses from the appropriate distribution list.
