Information Technology Services:
Submission and Retrieval of Production Jobs

UNIVERSITY OF NORTH FLORIDA
POLICY

DIVISION: Administration and Finance

DEPARTMENT: Information Technology Services

SUBJECT: Submission and Retrieval of Production Jobs

OBJECTIVE & PURPOSE:

To define procedures relating to the submission and retrieval of batch production jobs.

AUTHORITY:

Approved by the Information Resource Planning and Advisory Council, November 2, 1990.

PROCEDURE:

Requests to run batch production jobs that are not part of a daily, weekly, monthly, or otherwise automated production schedule must be submitted to Operations via the Job Request System (selection "JR" from the Local Applications Main Menu). Requests to run production jobs on a recurring basis for a predetermined period of time are also submitted to Operations using the Job Request System ("JRS"). Individuals authorized to submit production jobs and/or pick up output from production jobs must be so recorded in the User Authorization System (selection "UA" from the online Local Applications Main Menu). Submitting jobs and picking up output are separate and independent privileges, and are maintained in the User Authorization System at the Job Name (or Job Prefix) level. Users can thus submit and/or pick up only those jobs for which they are authorized.

Job requests are normally accepted in Operations Monday through Friday from 8:00 AM until 4:00 PM. Requests submitted after 4:00 PM are placed in the queue for the next business day. Exceptions to these normal hours must be approved by either the Director or Associate Director of Information Technology Services and coordinated with the Operations staff.

All batch production jobs requested for execution at the Northeast Regional Data Center (NERDC) will be submitted at a priority class that will take advantage of cost discounts (currently designated as job classes P, 2, and 1). Normally these job classes provide overnight turnaround. Occasionally, it may be necessary to run a batch production job and receive more immediate turnaround. In these instances, the individual authorized to approve the job request must provide a brief explanation as to the reason this more immediate turnaround is requested. These "daytime" requests are automatically forwarded to the Director or Associate Director of Information Technology Services, who must approve each such request. If neither is available, the Operations Supervisor can approve such requests, in which case electronic notification is sent to the Director or Associate Director.

Output produced and printed in Information Technology Services (regardless of whether it is regularly scheduled or ad hoc) may be retrieved only by those individuals authorized to do so in the User Authorization System.
