Graduation Deficiencies

 Purpose: To view graduation deficiencies for any student.
 To Use:
  • Enter the student's social security number and press enter. The student's academic history will appear. 
  • To update the record, make changes and then press F2 to update. 
  • To transfer to another screen, press the Home key, enter the screen number, and press F5. 
  • Press F11 to clear the screen and enter a new social security number.

Student 
Number:
(0239)

The student's social security number or student ID number.
Name:
(0242)
The student's name.
Class:
(0038)
Code that indicates the student’s current status according to classification codes below:
C - Conditional graduate student
T - Non-Degree transient or non-admitted student
1 - Freshman (hours earned < 30)
2 - Sophomore (hours earned > 29 and < 60)
3 - Junior (hours earned > 59 and < 90)
4 - Senior (hours earned > 89)
5 - Post Bacc. (received previous bachelor or master's degree)
6 - Fully admitted graduate student)
7 - Fully admitted doctoral student)
9 - Special student
GenEd Ind:
(0164)
Indicates which type of general education requirements a student must meet before he or she is eligible to graduate.
TE Eval:
(0022)
Indicates the status of the transfer evaluation.
I- Incomplete data (the Needs, adjst, and TE columns under Gen Ed may display incorrect information until the evaluation is complete)
N- Not Evaluated (default)
R- Student re-applied and default catalog has changed (the Needs, Adjst, and TE columns under Gen Ed may display incorrect information until the evaluation is complete)
Y- Evaluation complete
FL AA:
(0259)
Indicates whether the student has been awarded an AA degree from an educational institution in Florida.
Blank - The student has not received a Florida AA degree (default)
Y - The student has received an AA degree in Florida 
Grad term:
(0245)
The term in which the student has applied for graduation. Format=CCYYMM.
Gen Ed Section:
This section lists the general education requirements that still need to be met, adjustments, and hours met by the transfer evaluation. General education requirements are dependant upon a student's classification.
Needs:
(0153)
Indicates the hours needed to meet the general education requirement for each area listed.
Adjst:
(0154)
Indicates the hours adjusted for each area listed.
TE:
(0152)
Indicates the hours earned at another academic institution and applied by transfer to the area listed.
Requirements Section:
Indicates whether the Gen Ed, Language, Summer, CLAST, and Gordon Rule requirements have been met.
Gen Ed:
(0165)
General education requirements are UNF graduation requirements, and are determined by a student's classification.
M- General education satisfied (manual override - admissions)
N- General education not satisfied
R- General education satisfied (manual override - registration). Used to override for degree precertification.
X- Student is exempt from requirement or requirement is non-applicable
Y- General education satisfied (programmatically set)
Language:
(0151)
Indicates whether the foreign language requirement has been met.
A- Exception from graduation requirement (advisor decision)
C- Foreign culture
M- Foreign language requirement satisfied (manual clearance by admissions office)
N- Foreign language requirement not satisfied (default)
O- Foreign language satisfied via culture courses (advisor decision)
R - Foreign language requirement has been satisfied (manual clearance by registrar's office used at the time of degree precertification)
S - Foreign language satisfied
X - Exempt from foreign language requirement
Y - Foreign language requirement has been satisfied (determined programmatically)
Summer:
(0106)
Indicates whether or not the student must satisfy the requirement of 9 hours of summer course enrollment.
N- The summer course requirement has not been met
Y- The summer course requirement has been met
X- The summer course requirement has been waived for the student
CLAST:
(0046)
Indicates whether the CLAST requirement has been met.
A - Student has taken CLAST but passed only 3 of 4 parts of the test, and has earned <36 hours
D - Exempt from CLAST because of severe physical and/or learning disability FS.240.107(5)
H - Hold for computer processing
L - Student is restricted to registering fro 1000 and 2000 level courses. No registration overrides will be processed with this code
M - manual clearance for students required to take CLAST
N - CLAST is required, and has not been satisfied (default)
O - Registration override
P - Student is prohibited from registering
Q - Student has completed 36 or more upper level hours without satisfying CLAST requirement
S - CLAST is required and has not been satisfied. One registration override has been given. (To be phased out 89-90)
T - CLAST is required and has not been satisfied. Two registration overrides have been given. (To be phased out 89-90)
U - CLAST is required and has not been satisfied. Three or more registration overrides have been given. (To be phased out 89-90)
X - This code is a manual clearance for students exempt from CLAST
Y - CLAST is required and has been satisfied
Z - Reset CLAST info to spaces and CLAST satisfied to "N"
Gordon Rule:
(0166)
Indicates whether or not a student has satisfied the Gordon Rule requirement.
M - Manual admissions office override (added 7/17/97)
N - Gordon Rule is required but has not been satisfied
R - Manual records office override
X - Exempt from Gordon Rule requirement, or not applicable
Y - Gordon Rule is required and has been satisfied.
Hours Section: Indicates the upper, residency, and summer hours required, earned, waived, and needed for degree completion.
Required: Indicates the hours required in each area. (Because this data is not stored, it is not assigned an element number).
Earned:
(0377)
Indicates the hours earned in each area.
Waive:
(0495)
Indicates the hours waived (adjusted) for each area.
Needs: Indicates the hours still needed in each area.
Gordon Words: Indicates the number of Gordon Rule words required, earned, waived, and still needed. Once the requirement is met, the number of Gordon words no longer appear.
GPA:
(0343)
Indicates the GPA required by the program of study and earned by the student.
Oasis 
Contracts:
(0345)
Program of study that has been agreed upon by the advisor and the student. Fields include college, major, track, degree sought, and catalog year.
Status:
(0357)
A code that indicates the completion status of the student’s program of study.
Comp pending - Program content has been completed using in-progress or incomplete classes
GPA too low - Program content has been satisfied, but the student's program GPA is too low
Hours too low - Program content has been completed, but the student needs more hours
Minor conflict - Conflict between minor code and the contract
Not Ready - Contract is not complete
POS Completed - The program of study has been completed
Syntax errors - A subrequirement is outside of a requirement or in the free elective section
UNF requirement - One or more University requirements have not been satisfied

 

 

Error Messages

F2 was pressed, but the social security number was changed since the last inquire.

The student is not on the student records system.

"Inquire complete
An entry was found for the student.

"Invalid degree hours"
An attempt was made to update the degree hours, but the entry was not numeric.

"Invalid general ed code"
An attempt was made to update the general ed code, but the entry was invalid.

"Invalid general ed indicator"
An attempt was made to update the general ed indicator, but the entry was invalid.

"Invalid Gordon code"
An attempt was made to update the Gordon code, but the entry was invalid.

"Invalid Gordon words"
An attempt was made to update the number of Gordon words, but the entry was invalid.

"Invalid GPA"
An attempt was made to update the GPA, but the entry was not valid.

"Invalid hours"
An attempt was made to enter hours, but the entry was invalid.

">>Invalid key pressed<<"
An undefined PF key was pressed.

"Invalid language code"
An attempt was made to change the language code, but the entry was not valid.

"Invalid residency hours"
An attempt was made to change the residency hours, but the entry was not numeric.

"Invalid summer code"
An attempt was made to change the summer code, but the entry was not valid.

"Invalid summer hours"
An attempt was made to change the summer hours, but the entry was not numeric.

"Invalid TE evaluation indicator"
An attempt was made to change the TE evaluation indicator, but the entry was not valid.

"Invalid upper hours"
An attempt was made to change the upper hours, but the entry was not numeric.

"No updates allowed"
An attempt was made to update a record, but the user does not have that authority.

"Record updated as shown"
The record has been successfully updated.

"Student not found"
The student is not on the student records system.
