Outlook Archiving
As email usage increases and individual mailboxes reach their size limit, it is necessary to archive (store) old messages in a different location. By moving these old messages to a local drive, you will not experience warning messages (sent via email to your account) similar to this:
Your mailbox has exceeded one or more size limits set by your administrator.
Your mailbox size is 153000 KB.
Mailbox size limits:
You will receive a warning when your mailbox reaches 150000 KB.
You may not be able to send or receive new mail until you reduce your mailbox size. To make more space available, delete any items that you are no longer using or move them to your personal folder file (.pst). Items in all of your mailbox folders including the Deleted Items and Sent Items folders count against your size limit.You must empty the Deleted Items folder after deleting items or the space will not be freed.
If you do not heed this warning and reach your limit, your account will be locked. To avoid all of this, it is best to configure Outlook to archive (store) your email automatically. You can access the archived mail easily using Outlook. These instructions will guide you in setting up Outlook to automatically archive (store) your messages, backing up your archive file, and viewing your archived messages.
Please Note: Your email is archived to the local drive, it is no longer backed up, and therefore cannot be restored by Information Technology Services (ITS) . Users will need to back up ARCHIVE.PST using a zip disk or alternative media.
