What are mailing lists?
Mailing Lists give the ability to maintain a list of e-mail addresses and fielded information that can be included in your e-mail notification and then passed into your survey. A mailing list may contain up to 20 fields beyond the e-mail address and Unique ID for information such as First Name, Last Name, Date of Birth, etc. All of this information can be merged into your notification message so that your e-mails appear customized to each recipient. Through the Mailing Lists, the list of names a user has can also serve as a login page, called a Survey Gateway. This service would allow a user to create and publish a survey, then associate a list with it. The user would then have the ability to limit the people that are able to gain access to the survey by requiring them to log in using values from the list.

What is a campaign?
A campaign is the method to email a survey to the people in a mailing list. Campaigns track whether the email reaches the respondent, when the respondent clicks the on the link to the survey, and when they submit the survey. Other benefits of Campaigns include sending a survey to a sample of the people on a list, and sending follow up reminders, or thank-yous. Campaigns also let you embed information about a respondent into the survey data.

How do I create a campaign?
Once you have created a mailing list you can create campaigns based on the list. Several campaigns for different surveys can be based on one mailing list. Click here for instructions on creating mailing lists.
To create a new campaign:
- Click Create New Campaign from the Mailing Lists Dashboard screen.
- If you have existing surveys, the 'Message Link' screen appears where you can select a survey (from a drop down list of the available surveys) to associate to the message, then click Next.
- The next screen gives you the option to map fields from your Mailing List to available hidden fields within your survey. If you do not want to attach any information about the respondents to the survey click Next.
- The Message Update screen now appears. The interface is a simple text editor used to create and save the e-mail.
Fill out the address information. The ‘From Name’ and ‘From Address’ could be your name and email address, or the name and email of the department or center you work for.
You may want to use a different ‘Reply To Address’ so any recipient replies to the email go to a different mailbox.
Fill in the subject and message text. It is a good idea to write the message in word and paste it in to WebSurveyor. Specific fields from your mailing list can be inserted directly into your subject or message. Each of these fields will be personalized for each recipient of the e-mail, when the message is sent. Fields can be added from the list by clicking on the specific field from the 'Available Fields' toolbar, the field will be inserted into the Message or Subject.
- Click the Save Draft button to save the campaign without sending it. It is always a good idea to save a draft of the message.
To have a preview email sent to your UNF email account click the Preview button. WebSurveyor takes between 10 and 15 minutes to prepare and send the email.
If you are sending a message to more than 200 people, please contact the CIRT lab to ensure the UNF email filters do not block the emails. Click the Send Now button to send the message to the people on the mailing list. WebSurveyor takes between 10 and 15 minutes to prepare and send the email.

How do I track the progress of a campaign?
Click on the name of the campaign in the Mailing List Dashboard of WebSurveyor to track the progress of a campaign. WebSurveyor gives you information on the status of each individual, whether the mail was received, bounced, and if they’ve started, and finished the survey.

How do I send a survey out via Outlook email?
Once you have created your survey go into the Build/Edit mode and click Publish. Provide a filename then click on Publish Now. You will recieve a message that the survey is published. When a survey is published, the publish screen will include the URL of the survey (it is blue). You can copy the URL and paste it into an email message, or use the Mailing List feature in WebSurveyor.

My respondents are reporting problems submitting the survey. What would cause that?
This happen because the browser ‘times out’. If a respondent takes a long time to answer the survey WebSurveyor basically drops the connection. You can think of it as someone hanging up a phone because they were on hold too long. WebSurveyor will timeout after 30 minutes of inactivity.
