Notification Tools for Holiday Leave

There are two notification tools that faculty and staff can use to notify others when they are away from the office during this holiday season. These are turning on the 1) Out of Office Assistant in Outlook and 2) setting a temporary voice mail greeting.

1. Out of Office Assistant in Outlook

A) In Outlook, Go to the "Tools" menu and select "Out of Office Assistant"
B) In the Auto Reply box, type the text you wish others to receive.
C) Select "I am Currently Out of the Office". From that point on anyone who sends you an email will receive your "Out of Office" reply.
D) To turn off the Out of Office Assistant, simply choose "I am currently in the office."

2. Temporary Voice mail Greeting

When you are out of the office, a temporary voice mail greeting is a helpful tool to inform callers of when you expect to be back in the office. This option enables you to set an expiration date and avoid re-recording your internal and external greetings after you return. To create a temporary voice mail greeting, login to your voice mail system using your extension number and password. Then...

A) Press 8 2
B) Press 3 to select temporary greeting
C) Next press 5 and record your greeting (tell callers when you expect to be back in the office)
D) Press # to end your recording
E ) You can press 2 to review your greeting and 7 6 if you wish to delete it
F ) When you are finished, press 9 to set an expiry date and time - you will be prompted for the month, date and time. Remember to include the # after each entry. If you do not select an expiry date and time, the temporary greeting will stay in effect until you delete it.
