Administration and FinanceTip of the Week - April 21, 2008Travel Procedure ModificationThe increase in the number of duplicate “N” numbers is becoming a concern. In situations where an “N” Number has not yet been established, the Controller’s Office would like to request the campus community’s assistance in modifying a travel procedure that will help this process. When completing the TAR (Travel Authorization Request) or Travel Reimbursement for a new person such as a Candidate’s travel, departments are requested to please include the person’s social security number on the TAR form. This will assist us in our search processes when setting up payments and help us avoid duplication of “N” numbers. If we can in anyway reduce the number of duplications and better identify persons with similar or like names, it will be very helpful as our campus and our community grows. So that you may understand the issue and as a matter of information, there are 17 persons with the name of Amanda Smith, 8 persons named Amber Smith, 24 persons by the name of James Smith and 16 John Smith’s in our directory. Being able to identify the person we need to be paying is vital to what we do in the Controller’s Office and will assist us to ensure that we are paying the correct person. Please know that we do not request this type of information via email and that this information is, and will always be safeguarded to protect the individuals identity for whom we have requested this information.
