Build Reporting Table
In order to facilitate the Report by Curriculum in Banner Self-Service, a table (WTSTRPT) containing the necessary information is built on a nightly basis. The first step is to delete the table before inserting new records. All active students (using view WVSGACR) who have not received a degree and who are not deceased are inserted into the table. The UNF hours, transfer hours, gender, athlete, and honors information is also collected for inserting into the table. Next the view WVSGACA is used to extract the past several years of admission data. Additional admissions-related fields are extracted to support the Admissions report. And finally, graduation data (using view WVSGACG) are extracted to facilitate the report on graduated students.

In order to assist the ‘Transfer of Records’ from one college to another when a student changes their major (and college), the major changes are captured on a nightly basis. This process selects the primary curriculum for students who have an active General Student record (SGASTDN) who are seeking a bachelor’s degree. Each student’s curriculum is compared to their prior curriculum to see if it is different. If it is different then the curriculum is recorded in the Change of Major table. This information can be viewed in Banner Employee Self-Service UNF Administrative Applications Transfer of Records application.

A file is created containing a GPA designation of ‘Acceptable GPA’ or ‘Unacceptable GPA’ (based on college and GPA requirement), college description, program, major, student ID, student name, and Institutional GPA. Only students who are not in an AA program are selected. An email is sent to the Rolling Junior GPA distribution list notifying the recipients that a file is available for viewing.
For Limited Access and Selective Admissions programs, this weekly (Friday) process selects all students with an Active General Student (SGASTDN) record who have a Limited Access (AA-LA) or Selective Admission (AA-SA) program code with a future Active General Student (SGASTDN) Record with a baccalaureate program code. The process first checks to see if the student is on the UNF table created by the Capture Students Moving to Junior Classification process. If they are not, then the process checks to see if there is an application for a baccalaureate degree for the student. If either of these is true, then the student will be included. A file is created containing a GPA designation of ‘Acceptable GPA’ or ‘Unacceptable GPA’ (based on college and GPA requirement), college description, program, major, new college, new program, new major, student ID, student name, and Institutional GPA. An email is sent to the Rolling Junior GPA distribution list notifying the recipients that a file is available for viewing.

Delete General Student Records
When a student is admitted, a General Student record (SGASTDN) is created. If the student does not register, then their admission is cancelled. When the admission is cancelled using the process then the status for the General Student record is changed to Inactive (IS). This nightly process will delete all of these inactive records since they are no longer needed. Associated elements, attributes, curriculum, and athletic records are also removed. The end-term on previous curriculum records are reset when the deleted curriculum leaves the last remaining record as ended.
When an Application is cancelled manually and the General Student record is removed, the element records remain. This process deletes any element records where there is no General Student record.

Distribution List Maintenance
There are a variety of distribution lists that are updated on a weekly (Friday) basis.
Athletics
The process selects the university email address for all students with an active Athletic Compliance (SGASPRT) record with a term that is greater than or equal to the current term.
Honors
The process selects the university email address for all students with a record on the Student Institutional Reporting Requirements (elements) form with a University Honors-Enrolled (NAUY) code in element 1 or Interdisciplinary-Enrolled (NAIY) code or Honors in Major-Enrolled (NAMY) code in element 2 with a term that is greater than or equal to the current term.
International Students
The process selects the university email address for all students with a visa code of F1 or J1 on the International Information (GOAINTL) form and registration with a term that is greater than or equal to the current term.
Active Students
The process selects the university email address for all students with an active General Student (SGASTDN) record.
Current Students
The process selects the university email address for all students with an active General Student (SGASTDN) record and registration (at least one course must be gradable) with a term that is equal to the current term.
Current Graduate Students
The process selects the university email address for all students with an active General Student (SGASTDN) record with a level code of Graduate (GR) and registration (at least one course must be gradable) with a term that is equal to the current term.
Active Graduate Students
The process selects the university email address for all students with an active General Student (SGASTDN) record with a level code of Graduate (GR).
Pending Account Deletion
The process select the university email address for student who do not have active General Student (SGASTDN) records for the next term, whose maximum active General Student (SGASTDN) record has an effective term that is less than less than current term, and whose last enrolled term was less than or equal to current term minus one year.

Primary Attribute Process
The process selects students with an Active General Student (SGASTDN) record, academic standing (SHATERM) records, and hours and GPA (SHATERM) record with any change since the last time the process ran.
The following attributes are processed.
Classification
These attributes are used along with the Student Classification Rules defined on SGACLSR to determine a student's classification.

Doctoral Student (ADDR)
The process checks the student program on SGASTDN to see if it is one of the Doctoral Programs (COE-DEDD, COH-DNP, and COH-DPT).

Special Student (AASP)
The process checks the student admit type on SGASTDN to see if it is one of the following: SN (Special-No Prior Degree), ZD (Senior Citizen-Prior Degree), ZN (Senior Citizen-No Prior Degree), TS (Transient), DB (Dually Enrolled IB), or DE (Dually Enrolled).

Post baccalaureate (APPB)
The process checks the student admit type on SGASTDN to see if it is one of the following: ‘PB’ (Post Baccalaureate) or ‘PG’ (Graduate Applicant).

30 Upper Level Hours (RA30)
The process calculates the number of upper level hours at UNF and number of upper level transfer hours where the student type on SGASTDN is not ‘G’ (Graduate), ‘H’ (Dual Enrolled), or ‘P’ (Post baccalaureate). If this number is greater than or equal to 30 then the attribute is added. In conjunction with the classification rules (SGACLSR), if the student has at least 90 cumulative credit hours and this attribute then the student will have senior class standing.

Upper-Level for Registration (ATJR)
The process checks the student admit type on SGASTDN to see if it is one of the following: ‘UJ’ (Upper Level Transfer (CC)) or ‘UU’ (Upper Level Transfer (Other)) and that the admit term on SGASTDN is equal to the process term. If the student meets these conditions then the attribute is added. In conjunction with the classification rule (SGACLSR) the student will have junior class standing regardless of actual number of transfer hours due to incomplete transcripts.
Registration Restrictions
- Academic Potential Program (AFPP)
The process checks the student admit type on SGASTDN to see if it is a ‘BP’ (FTIC-APP).
Fees
- Admissions Orientation Fee (AAOR)
The process checks the student type on SGASTDN to see if it is one of the following: ‘B’ (Beginner-FTIC), ‘E’ (Early Admit-Prior to High School Graduation), ‘J’ (Transfer from a Florida public Community College) or ‘U’ (Other Undergraduate Transfer) and that the student’s level on SGASTDN is undergraduate (UG). This attribute is applied to the student’s record for their first term to enforce payment of the fee. This applies to student who matriculated in Fall 2005 and after.
Residency
- Residency(RARS)
For students who matriculate prior to Fall 2012 the process is as follows:
The process finds the number of hours required for the program on SMAPROG (Program Requirements) and divides that number by 4 to get 25 percent of the total required hours. Then the total number of upper level credit hours earned at UNF is calculated. This number must be greater than or equal to 30. The process also calculates the total number of credit hours earned at UNF. This number must be greater than or equal to the 25 percent of total required program hours calculated in the first step. If both of these conditions are met then the attribute is applied to the student’s record.
For students who matriculate in Fall 2012 forward the process is as follows:
The process finds the number of hours required for the program on SMAPROG (Program Requirements), subtracts 60 and multiplies by .75 to get 75 percent of the upper level hours required. The total number of upper level credit hours earned at UNF is calculated. This number must be greater than or equal to the 75 percent of total required upper level program hours calculated in the first step. AA program hours are set at 60 so the calculated program hours are reset to 45. Program hour requirements for Post baccalaureate students and students enrolled in the RN-BSN program is 30 credit hours. In addition, upper level undergraduate credit hours obtained while enrolled in an approved UNF study abroad program will be counted in the upper level hours calculation for residency purposes. If the student meets this condition then the attribute is applied to the student's record.

- Assess In-State Fees (RAIS)
The process checks Element 9 for a code of IACB (LAC Scholars living off-campus), IALS (LAC Scholars living on-campus), IAIF (In-State tuition), or ANEX (International Exchange Student) and adds the RAIS attribute. This attribute entitles the student to pay in-state fees.

University Requirements Attribute Process
The process selects students with an Active General student (SGASTDN) record, students with FLNT, SUMR, or any code that begins with GEN on the Academic Non-Course (SHANCRS) form in the CAPP Non-Course Requirement field, an AA degree on the Prior College (SOAPCOL) form in the Degree Details block, and transfer hours and GPA (SHATERM) with any change since the last time the process ran.
- AA Earned at a state school (VAAE)
The process checks the institution code on SOAPCOL (Prior College) in the Prior College block and determines if it is an SUS institution or Florida Community College. The process checks for an AA degree in the Degree Details block and checks to see if the primary indicator is checked. If the student’s record meets all of these conditions then the attribute is added to the student’s record.
- Foreign Language Exempt (UFLE)
The process checks SHANCRS (Academic Non-Course) in the CAPP Non-Course Requirement field for a FLNT code and a ‘Y’ in the Satisfied field. If the student’s record meets all of these conditions then the attribute is added to the student’s record.
- Summer Requirement Exempt (USME)
The process checks SHANCRS (Academic Non-Course) in the CAPP Non-Course Requirement field for a SUMR code and a ‘Y’ in the Satisfied field. If the student’s record meets this conditions then the attribute is added to the student’s record.
If these conditions are not met then the process determines the first term that the student entered an SUS institution. It calculates the last term prior to the student's first SUS term. The number of transfer hours earned prior to the first SUS term is calculated. If this number is greater than or equal to 60 then the student is exempt. The attribute is added to the student’s record.
If the student is still not exempt and the student matriculated at UNF as an FTIC or transfer student (student type on SGASTDN is B, E, J, or U) between summer 2005 and spring 2011 then an additional check is performed as follows:
Determine the student’s high school graduation date by looking at SWAHSCH (High School Transcript form) where the Transcript Used for Admission Decision box is checked. The process determines the student's first term as an FTIC (student type on SGASTDN is B or E) or Transfer student (student type on SGASTDN is J or U). The process calculates the number of hours in accelerated mechanisms (AP, IB, CLEP and other exam credit) prior to matriculation and dual enrolled credit hours (transfer credit hours earned prior to high school graduation). If the total number of hours is greater than or equal to 9 then the student is exempt. The attribute is added to the student’s record.
- General Education Catalog (UGE%)
The General Education Catalog is based on the student’s catalog term and number of transfer hours. The process gets the catalog term for the student from SGASTDN. The process checks to see if the student has an AA degree from a Florida public university or community college. If the student meets this condition then they do not receive a General Education catalog attribute. The process then checks to see if there is an override on SHANCRS (Academic Non-Course). An override can exempt, satisfy or override the General Education catalog. An override will be one of the following codes in the CAPP Non-Course Requirement field with a corresponding Status:

Daily Registration Process
There are a series of processes that are executed every day during the registration period.
- Week of Welcome Assessment (AFWW)
The process selects active students (student status of ‘AS’ on SGASTDN) with an admit term of summer or fall for the current year and an admit code of ‘BP’ (FTIC-APP), ‘BE’ (Early Action), or ‘BF’ (FTIC). If the Week of Welcome attribute does not already exist then it is added. - International Athlete Hlth Ins (IAHA) or International Student Health (IAHS)
The process selects active students (student status of ‘AS’ on SGASTDN) who have a visa code on GOAINTL (International Information) of ‘F1’,’F2’,’FO’,’J1’,’J2, or ’JO’ and a medical code on GOAMEDI (General Medical Information) of ‘I1’ (Insurance) where the Disability Service code is not ’IS’ (Insurance Satisfied). If the attribute does not already exist, then the attribute is added.
- If student is an Athlete (SGASPRT), add IAHA attribute
- If student is not an Athlete, add IAHS attribute
This process runs for two weeks following drop/add for Fall and Spring terms to handle late changes in students' insurance status.
- ID Card Assessment (RAID)
The process selects active students (student status of ‘AS’ on SGASTDN) with at least one of the following criteria:
- Active employees (except for college work study, student assistant, and graduate assistant)
- Existing ID card assessment
- Dual enrolled (admit type on SGASTDN of ‘DB’ (Dually Enrolled IB) or ‘DE’ (Dually Enrolled))
- Enrolled in the OCT (On Campus Transition) or ELP (English Language Proficiency) programs
These students are exempt from paying the ID card assessment and will receive this attribute.
- Undergraduate Differential Tuition (RADT)
The process selects active students (student status of ‘AS’ on SGASTDN) who were designated as Florida Prepaid prior to 2008 and do not already have the attribute. The RADT attribute is added to these students. The process then selects students who were active (student status of ‘AS’ on SGASTDN) during Summer 2007 and did not break continuous enrollment through Summer 2009. The RADT attribute is added to these students. The students who receive this attribute are exempt from paying the additional tuition. - Florida Pre-Paid (RAPP)
The process selects active students (student status of ‘AS’ on SGASTDN) who are also designated as Florida Prepaid and do not already have the attribute. The RAPP attribute is added to these students. The students who receive this attribute are exempt from paying the additional tuition.
- Florida Pre-paid Local Fees (RAPL)
The process selects active students (student status of ‘AS’ on SGASTDN) who are also designated as having purchased the Florida Prepaid Local Fee and do not already have the attribute. The RAPL attribute is added to these students. The students who receive this attribute are exempt from the local differential tuition fees.
- Florida Pre-Paid Differential Plan (RAPD)
The process selects active students (student status of ‘AS’ on SGASTDN) who are also designated as having purchased the Florida Prepaid Differential Plan between 2008 and 2009 and do not already have the attribute. The RAPT attribute is added to these students. The students who receive this attribute are receiving a further reduction in the differential tuition fees.

Non-Automated Process
The following attributes are added to the student’s record by running a Banner job.
- Registered On-Time (RAOT)
The process selects students from SFAREGS (Student Course Registration) for a given term and adds the attribute. This will prevent the student from being assessed a late fee. There are two Banner Jobs: WSG5425 and WSG5428 (for summer B).
- National Student Loan Clearing (NSLC)
The process select students from SFAREGS (Student Course Registration) Enrollment Information block. If student has an Acceptance indicator equal to the input parameter, an SSN on SPAPERS (General Person) that begins with ‘000’, is greater than ‘800000000’, or is blank, then the NSLC attribute is added to the student's record. This will exclude the student from being included in the National Student Loan Clearing House extract. The Banner Job is WSG5430.
Student Directory Information
Directory information is the information available about a student that is not considered harmful or an invasion of privacy if disclosed. While FERPA and state law protect the privacy of educational records, directory information is not treated as confidential and may be disclosed by the university without student consent unless the student requests non-disclosure. At UNF, the following has been designated as directory information:
- Name
- Address
- Telephone number
- Dates of attendance
- Admitted College / Majors
- Degrees Awarded
- Classification (freshman, sophomore, etc)
- Participation in officially recognized activities and sports
- Honors
- Weight/ Height of Athletes
This weekly process (Sunday) selects all students with an active General Student (SGASTDN) record for the current term. A table (WTSGDIR) is updated with the above information (excluding the last three items) where the Enrollment Services Records Office uses it in a Cognos directory information report.
