I want to submit a new project in IRBNet. What do I do to get started?
First we recommend that you review the
Read Me First!
document
and the
UNF IRBNet User Manual
on the
UNF IRB website
. This website also contains other helpful information.
The IRB application has two parts, one component that is online and can only be accessed within IRBNet (i.e., “North Florida – IRB Protocol” also called a smartform) and one that is a form you download to your computer, complete and save to your computer, and then upload onto IRBNet (i.e., “Attachment A: Study Details).
More information about how to access these documents is included below. The rest of your documents (e.g., recruitment materials, informed consent, data collection tools) will need to be developed by you. However, there are several documents on the
UNF IRB website
that can help you as you develop those materials (e.g.,
Documents Checklist
,
Guidelines and Instructions for Completing the Required CITI Training
,
Guidelines for Creating Informed Consent Document
,
Informed Consent Checklist
,
Informed Consent Sample Template
).
We strongly suggest that you wait until you have completed the online
North Florida – IRB Protocol application before you begin developing your other documents
. This online application has a built in component that will help identify whether your project is research involving human subjects that needs to be reviewed and approved by the UNF IRB. Based on your answers in the online North Florida – IRB Protocol application, you may get a message that your project
may
not be human subject research.
If you do not receive a message that “Your study does not appear to be research involving human subjects…” then your project will most likely need to be reviewed and approved by the UNF IRB prior to implementation.
If you do receive the message that “Your study does not appear to be research involving human subjects…,” you will be asked to sign the submission package within IRBNet and submit it to the UNF IRB. Simply receiving a notice within IRBNet that your project does not appear to be research involving human subjects is not a definitive confirmation. The contents of the online application will need to be submitted and reviewed to confirm whether further IRB documentation and review is needed. Please contact a research integrity administrator if you have questions
(contact information below)
.
In addition to the online North Florida – IRB Protocol application and Attachment A, other documents will be required for your submission. Please refer to the
Documents Checklist
or contact a research integrity administrator for more information (contact information below).
I can't find the online North Florida - IRB Protocol application. Where is it?
The online North Florida – IRB Protocol application can be accessed from the Designer page in IRBNet. From the Designer page, click the button “Add New Document.” This will bring you to the “Attach Document” screen. In the second box on that screen you will have the option to add an On-Line document titled “North Florida – IRB Protocol.” Click the “Add” button. The first page of the online application will be instructions. If you are having trouble finding the designer page or the online application, please refer to page 10, 20 and 21 of the
UNF IRBNet User Manual
or contact a research integrity administrator
(contact information below)
.
Where can I find the "Board Document" that has been published for my project in IRBNet?
Log in to IRBNet and click into your project (by clicking the title of the project you wish to see). This will bring you to the Project Overview page. Click the “Reviews” button on the left-hand side of the screen. This will bring you to a page where you can see all Board Documents that have been published for your project. If you can’t find the “Reviews” button or if you have other questions, please contact a research integrity administrator (see below).
I received a review memo asking for revisions but my project is locked. What should I do?
Read your review memo, often times this document will contain information about what to do.
In most cases you will need to create a new project package in order to make revisions to your project. If you have received a Review Memo (not to be confused with an acknowledgment memo) and your project package is locked, that means that you will need to submit a new package in order to submit revisions.
In order to create a new package (not to be confused with creating an entirely new project), complete the following steps:
Click into your project in IRBNet by clicking the title of the project.
Click the “Project History” button the left-hand side of your screen.
Click the “Create New Package” button in the middle of the page. If you do not see this option you may not have full access to this project or there could be other issues. Please contact a member of the research team who has full access to see if they would be willing to grant you full access to this project. If you already have full access, please contact a research integrity administrator
(contact information below)
.
Click “New Document Package” to access the Designer page for your new package.
How do I make changes to an existing document in IRBNet?
If you are making revisions to any document other than the North Florida – IRB Protocol application (e.g., Attachment A, recruitment, informed consent), you need to make changes to the document saved on your computer and upload that revised document into IRBNet. To upload documents go to the designer page for your project within IRBNet. You should see a list of “Documents from Previous Packages that you can Revise.” Find the document you
want to revise from the list of documents and then click the pencil icon. IMPORTANT: click the pencil icon rather than clicking “Add New Document.” The “Add New Document” button is reserved only for new documents that were not submitted in previous packages.
Information about how to make revisions is also included on page 25 of the
UNF IRBNet User Manual
.
If you are making revisions to the
North Florida – IRB Protocol application, you can do that directly in IRBNet. Make sure you click the pencil icon so that you don’t have to restart the application from scratch. When you click the pencil icon, IRBNet will bring you to the last page you completed in the online application. Use the “Jump To” drop down menu to jump to any page you previously completed in the application. It will look something like this:
In the drop down menu, find the page you want to go to and then click “Jump.”
