Online Survey Tool - Vovici Enterprise 

New Online Survey Application

In the fall, the University will transition to a new online survey application. The Online Survey Software Evaluation Team selected Qualtrics to replace Vovici, UNF's current online application. Qualtrics was selected because it better supports student and faculty research, is more user-friendly and less expensive. There will be a three-month overlap of products to facilitate transition to Qualtrics. Qualtrics will become available in early October and Vovici's license will expire Monday, Dec. 31. Information about training and transitioning to Qualtrics will be communicated in the near future.

Does UNF service the program, or does the Vovici company? 

Vovici is hosted and administered on UNF servers.

 

How does UNF or Vovici ensure the security of the information? 

UNF uses multiple layers of network security to protect traffic. Data at rest is protected by requiring authentication and limiting access to those with the proper credentials. The researcher is responsible for monitoring the actual data in use, such as when they download it to a remote device (e.g. USB drives) or email it to others. In both cases we recommend encryption and our IT Security department can assist with setting this up if needed.

 

How does the survey author provide the survey to the respondents? 

There are two main ways to disseminate the survey URL (link): One is Open Participation where anyone who has the link can respond to the survey. The other is External Email List, where you import a list of email address and use Vovici to conduct an email campaign, allowing you to remind participants who have not responded.

 

How is my survey data stored on UNF computers? 

Vovici stores responses in a database instance of MS SQL Server. This provides good protection and scalability and is on a protected server within the Network Operations Center. The server is backed up nightly and the backups are rotated offsite monthly for disaster recovery purposes. EMF Community uses the Secure Sockets Layer (SSL) protocol to encrypt survey responses for submission over the Internet.

 

Are survey responses anonymous? 

To allow participants to take a survey you provide them with a link to the survey (either by email or a link on a webpage). Survey uses a HTML form to collect responses in a secure database. Unless you ask for information that links a participant to the data in the survey, the surveys are anonymous. The email list feature reports when a respondent has started, and completed a survey. That data is separate from the response data and does not include anything that can be used to compromise the anonymity of the survey.
