UNF has developed a Change of Grade system for faculty to use to indicate any changes to grades after the term. As part of this system, emails are sent to the Department Chairs indicating there are Grade Changes pending. Emails are sent to Instructors indicating whether any Pending Grade Changes have been approved or denied. The process runs nightly to notify both Chairs and Instructors about activity for that day. If it is Friday, the email sent to the Department Chairs includes all pending grade changes that are still outstanding, not just those that occurred for the day.
Students who receive Incomplete (I) grades must complete the work within a designated time frame (usually within one year). If the student does not complete the work and the extension date passes then the default grade is assigned to the student. This weekly process (Wednesday) checks every record in academic history where the grade is Incomplete (I) and the extension date is prior to today’s date. The grade is updated with the default grade from the Incomplete Grade Tracking System, if it exists, or a grade of ‘F’ if a default grade does not exist. Once the grade is updated, the student’s GPA is computed.
For all Incomplete (I) grades that are assigned, a default grade and extension date may also be assigned. This weekly process (Wednesday) checks to see if an extension date exists for all incomplete grades. The process selects all records in academic history for terms beginning in the year 2000 with a final grade of Incomplete.
UNF has developed an Incomplete Grade Tracking system. The process checks to see if the record exists in this system. If it does not exist, then a record is added with a default grade of ‘F’ and a default Roll Date of one year from the end of the course. If the record does exist, then the extension date is retrieved. The extension date is then compared to the extension date that already exists for this record in academic history. If they do not match, then academic history is updated if it is less than or equal to the default date. Otherwise, if the date in academic history is greater than the default date, the date in the incomplete grade tracking system is updated.
