Degree Evaluations are managed though various processes. Degree Evaluations are primarily created in two ways: Banner Self-Service Faculty Services menu or the Banner Batch Compliance process. Some of the ways that degree evaluations are created, archived, and deleted (purge) are described in the following processes.
Archive Degree Evaluations (After Degrees Post)
Enrollment Services Records Processing runs the Population Selection process (GLBDATA), Batch Compliance process (SMRBCMP), and the FTP to Imaging process (WSM1015) for awarded degrees for the prior term 3 to 4 weeks after degree post. Enrollment Services Records Processing staff will verify that the archive was successful but checking the records in the imaging system. The imaging query is ‘Advising – Degree Evaluations’.
When running Batch Compliance for the archive an additional parameter, not used when creating degree evaluations for pending graduates, is needed to create a file of all degree evaluations that will then be sent to the imaging system. This parameter is ‘11 Compliance Print Type’. Compliance Types are defined on SMACPRT.

Automated Batch Compliance
A nightly process creates a population selection that is used with the Batch Compliance Banner process (SMRBCMP). The students are selected based on recent activity (since the last time the process ran) on their records. Only students with an Active General Student (SGASTDN) record are selected. The following are the criteria for the student to be processed:
- Change to General Student Record (SGBSTDN)
- Change to Term Course Maintenance Record (SHRTTRM)
- Change to Hours or GPA (SHRLGPA)
- Change to Student Attributes (SGRSATT)
- Change to Registration Audit (SFRSTCA)
- Change to Transfer Course Attributes (SHRTATT)
Students who have a pending degree record or an awarded degree record that matches their SGASTDN record are excluded from the process.
The process runs for the current term and the next two terms and creates a degree evaluation. This enables degree evaluations to be created for future terms in case of a change in curriculum for the student.

Batch Compliance for Final Certifications (After Grades Post)
Enrollment Services Records Processing runs the Population Selection process (GLBDATA) and Batch Compliance process (SMRBCMP) for pending graduates for the current term after grades are posted as part of end of term (grade) processing. AA Degrees are handled separately from all other degrees. For Final Certifications neither AA degrees nor other degree look at in-progress work. This is noted by parameter ‘19 Default Parameter Code’.

Batch Compliance for Active Students
In order for all active students to have an up-to-date degree evaluation, a process to generate a population selection used in conjuction with Banner Batch Compliance (SMRBCMP) runs on a monthly basis after the purge (SMPCPRG). The process selects all students who have an active General Student (SGASTDN) record for the input term. Students who have a pending degree record or an awarded degree record that matches their SGASTDN record are excluded from the process. The process runs for the current term and the next two terms and creates a degree evaluation.

Purge Degree Evaluations
Since degree evaluations are being created on a daily basis, it is good practice to remove some of the old degree evaluations periodically. To that end, an automated Banner process (SMPCPRG) runs the first Friday of every month through AppWorx to purge all but most recent degree evaluations.
In addition, prerequisite checking causes degree evaluations to be generated. These degree evaluations are purged monthly. Another way that degree evaluations are created is through the FACTS website. These degree evaluations are purged nightly in the NSTU_ADVISING chain.
