EDI Error Information

The EDI Error Information page displays error messages generated during EDI inbound and outbound processes. Currently, this process is restricted to transcript processing. The SWATERR form in INB contains errors generated from electronic Test Score processing.

All errors are initially displayed and sorted by inbound/outbound mode, EDI transaction type and document number. The drop-down selections can be used to filter the list between inbound and outbound as well as between technical and functional type errors.

Functional errors are generally the result of data discrepancies, configuration rules, or validation table entries. Typically, these errors can be resolved by updating the configuration or validation data.

 

Technical errors result from abnormal conditions found within the processing programs.   Typically, ITS will need to investigate and correct the error.

 

Permanent errors are those created by a one-time triggered event, such as the automatic request for a transcript when an item is added to the Admission’s check-list. These errors stay on the list until they are manually removed, giving the user the opportunity to correct the condition that caused the error, and taking whatever action might be necessary to submit the failed request again, if necessary.

 

The Purge checkboxes and the Purge Error Message & Related Inbound Transaction button work together to allow the user to select and purge error messages from the list. With the exception of permanent errors, the user will normally not need to manually remove entries from the list. Most errors are automatically purged each day. Hitting the Purge Button will delete the error message from the report and the related open transaction will be closed. The EDI system will no longer process it.

 

The EDI Transaction column refers to various types of EDI transactions. The transaction codes are as follows:

130 - Transcript.

131 - Transcript acknowledgement.

146 - Request for transcript.

147 - Response to a request for transcript.

 

The Error Stack column contains the program and line number that generated the error message.

 

The Document No., ID, and Social Security columns show additional identifying information if available. EDI Outbound Transcript

This application displays the EDI outbound transcript based for the student ID and receiving school code that are entered. The format of the transcript complies with the SPEEDE standard. It mainly contains personal history and identifying information about the student, the current academic status, dates of attendance, courses completed with grades earned, degrees and diplomas awarded and testing information.

EDI Outbound Transcript Request

This application is used to request an electronic transcript for a student. Users enter a student ID, school code where the transcript request is to be sent and the proper action code. Doing so will generate an electronic request.

EDI Potential Match

This application provides a quick means to manually attach an EDI transaction to the selected person or a new ID, so that all related information can be tied together and further processed.

The drop-down selection on the first screen can be used to filter the transactions with potential matches by transaction type. The transaction report displays details associated with an EDI transaction. All data are displayed and sorted by last name, first name. The second screen displays detailed information on the file and its potential match records. It also provides the following major functionalities:

  •       Match EDI transaction to the selected person
  •       Create new ID
  •       Send out rejection message for Inbound transcript request

EDI Transaction Summary   

This application provides a quick means to search EDI transactions by transaction period, school, transaction processes (inbound or outbound) and status (accepted or rejected). The transaction report displays an overview of EDI transaction activities. All data are sorted by school, transaction processes (inbound or outbound), transaction type (transcript, Transcript Receipt Acknowledgement, Transcript Request, Transcript Request Acknowledgement) and the date transaction was processed.

EDI Transcript Register - Person Search   

This application provides a quick means to search EDI transcripts by UNF ID or name, by school and transaction mode (inbound or outbound). Users must enter UNF ID or name information (full or partial name). The drop-down selections can be used to filter the transcript list between inbound and outbound processes. The user can enter a school code in the School text box.

 

The transcript report displays details associated with an EDI transcript. All data are displayed and sorted by last name, first name, middle name and the date a transcript was processed.

EDI Transcript Register - Transaction Search

This application provides a quick means to search EDI transcripts by transaction period, EDI control number, school, and transaction mode (inbound or outbound). Users must enter the transaction period.  The drop-down selections can be used to filter the transcript list between inbound and outbound processes. The user can enter a school code in the School input box. If a user has a control number for a particular EDI transcript, it can be entered into the Control Number input box

 

The transcript report displays details associated with an EDI transcript. All data are displayed and sorted by last name, first name, middle name and the date a transcript was processed.

This application provides a quick means to search EDI transcript requests by UNF ID or name, by school and transaction mode (inbound or outbound). Users must enter UNF ID or name information (full or partial name).  The drop-down selections can be used to filter the transcript request list between inbound and outbound processes. The user can enter a school code in the “School” input box.

The transcript request report displays details associated with an EDI transcript request. All data are displayed and sorted by last name, first name, middle name and the date a transcript request was processed.

EDI Transcript Request Register - Transaction Search

This application provides a quick means to search EDI transcript requests by transaction period, school, control number, transaction processes (inbound or outbound) and status (pending or completed).  The drop-down selections can be used to filter the transcript request list between inbound and outbound processes, pending or completed requests. The user can enter a school code in the “School” input box for a particular school search, or an EDI control number in the ‘Control Number’ input box for a particular EDI transaction search.

The transcript request report displays details associated with an EDI transcript request, including related transcript information. All data are displayed and sorted by last name, first name, middle name and the date a transcript request was processed.
